Sponsored ImmigrantSummary Form

This checklist is to assist Heads of Units to comply with Home Office requirements for sponsored employees. Failure to report non-attendance, non-compliance (of their immigration conditions) and disappearance of a sponsored migrant to the Home Office within 10 days will result in penalties for the University and possible court action. The University is also responsible for reporting any changes to their employment – for example if you want to change their working hours or duties.

This checklist must be:

  • Completed by Units for all sponsored employees
  • Checked and updated on a monthly basis
  • Used as a prompt to advise HR of possible breaches of immigration rules

Please list any sponsored immigrants details below (update the list as and when newly appointed migrants are sponsored or existing migrant’s leave):

If a sponsored employee fails to turn up to work on their first day of work or if they are absent for more than 10 days without permission you must advise HR immediately so that the Home Office can be informed.

Step 2

Complete a checklist for each sponsored migrant, and inform HR of any changes where applicable.

  • A promotion or change in job title/duties, other than those requiring a change of employment application from the Home Office?

  • A change in salary from the level stated on the migrant’s CoP, other than annual increments or bonuses?

  • A change of salary from the level stated on the migrant’s CoP due to a period of maternity, paternity or adoption leave, or a period of long-term sick leave that lasted for one month or longer?

  • The location the migrant is employed at changes?

  • The duration of the contract is shortened?

5. / Is the migrant’s employment affected by TUPE or similar?
6. / Has the migrant been absent from work for more than 10 consecutive days without permission?
7. / Do you have any information that suggests the sponsored migrant is engaging in terrorism or any other criminal activity?

If the answer to any of the above questions is Yes, please contact your HR Partner immediately so that the reporting requirements of the Home Office can be met.
