1.  Approval of Agenda

Jill Zachary requested that GSE be added. It was, shown under Business Arising/Reports, scheduled as 3.10

3.  Business Arising

·  – Shelter Box Dinner – September 10, 2008 with Tom Henderson

·  Clint Kuschak advised that everyone should have received e-poster. Maria Hudolin has copied. Clint has distributed in Thunder Bay and Nipigon.

·  When purchasing tickets leave stub portion where ticket sold- cheque or credit card acceptable

·  Have to sell 200 tickets @ $75.00 each

·  There will be a break in cost allowed for Rotaract and Interact – 2 tables have been reserved for these clubs where include: Nipigon, Two Harbors, St. Scholastica/Duluth – cost will be $25.00 each.

·  Roly Turner asked if this is on District website – Clint replied yes.

·  Cycle to Walk Campaign (Thunder Bay)

·  Clint Kuschak advised it was a big success – all club committee – terrific media coverage. We had him for 6-7 days. Not sure of the amount of money that came out of Thunder Bay.

·  Frisbees stuck @ border – shipped to meet up @ summer Rotary Festival in Sault Ste. Marie.

·  $600 budget – with some money left over. Will buy ad in Chronicle Journal to Thank Thunder Bay and promote going to website.

·  Scheduled finish date – October 1, 2008

Action: Request was made to include Nipigon in Thank you

·  Climate Change Committee Report

·  Clint Kuschak advised no report for this meeting

·  Rotary Foundation Points

·  Ajoy Chatterjee advised no information for this meeting. He hopes this will come up at Executive meeting, the points given to District.

Action: Ajoy to get this added as agenda item to Executive Meeting

·  Insurance

·  Roly Turner reported insurance should be completed.

·  Endorsement adding coverage is pro-rated. March – June

·  Invoices have been sent out to each club

·  Renewal will follow with annual charge

·  All interaction with youth included

Action1: Roly to request certificate of insurance for Central States.

Action2: Roly to request Melanie Albanese to attached actual coverage to these minutes.

·  Crisis Management Procedure

·  Ajoy Chatterjee reported that committee is preparing procedure for District wide distribution, and once approved will be provided to all.

·  Dictionaries

·  Ajoy reported dictionaries are $1.50 per book + $200 brokerage fee + shipping included.

·  Total Cost $2,000

·  Three school boards to receive (Catholic, Public, French) 1,200 copies

·  Karl Wahl questioned brokerage fee – Roly Turner though perhaps to cover shipping.

·  Roly Turner brought up other type of dictionary

·  Judi Turner advised it was U.S. version

·  Ajoy Chatterjee asked how clubs want to distribute cost.

·  Brandon Otway asked if this could be a multi-year project instead of each student.

·  Ajoy Chatterjee stated he would like to see it continue – every 2nd or every 4th year. It promotes Rotary. Would like to see a rubber stamp or sticker attached that depicts Rotary Canada Club.

·  Roly Turner asked what grade receives dictionaries.

·  Ajoy advised Grade 3.

·  Jerry Williams asked if this has been discussed at club level.

·  Lois Horton to speak to her club as they already have a literacy component.

·  Lois Horton asked if a Canadian Source for purchasing dictionaries was investigated. Ajoy replied yes, the cost was $13.00 per book.

·  A request was made to see copy of dictionary. Ajoy advised lady he has been corresponding with lost address. It will take two weeks for books to arrive.

Action: Ajoy Chatterjee to get copy of dictionary. Jerry Williams to get to each club to discuss by end of August and bring back reply via email to Canada Club representatives.

·  Jerry Williams ended discussion by reaffirming that in principle we are all in agreement. Reply was yes.

3.8 CLUB REPORTS

Lakehead Club Report – provided by Roy Lucas

·  Meeting with Governor Tully went well

·  Have inducted 4 new members

·  Losing 2 members

·  Have 2 others interested

·  A craft show fundraiser for November in initial stages

·  Terry Fox – September 14th

·  May 8, 2009 will be the 25th Anniversary of Club. (also night of the 3rd annual shrimp fest)

Port Arthur Club Report – provided by David Legge (additional comments by Judi & Roly Turner)

·  Meeting with Governor Tully was excellent.

·  President Bernie Baxter has not revealed plans for upcoming year.

·  Fundraising – hunt for more – brainstorming ideas presently

·  Strong board – great nucleus

·  Trying to live up to District

·  Dragon Boat - $2,400 in donations – Jonathan did a great job from club.

·  Irene Kozlowski / Sencia to assist with interactive minutes and posting them to website.

Fort William Report – provided by Jerry Williams

·  Joan Krisko has taken over the reins as new President. Very organized look.

·  Membership on increase – now 43 members

·  Successful Canada Lottery Draw. It was sucking wind, but received a surge in last two weeks. Did not sell out.

·  Meeting to determine path forward – some changes will occur – looking into perhaps a GREEN house (environmentally friendly).

·  Ball game last night (Border Cats came back 4-3)

·  Business as usual – looking forward to great year – identified Jill Zachary as President elect.

Nipigon Club Report – provided by Lois Horton

·  Big fundraiser for the club continues to be sale of smokies in front of Zechners grocery store on Thursday, Friday, Saturday. The fundraiser runs May to Labor Day. It is staffed by two Rotarians. Some times $200.00 raised, other times $80.00.

·  Lake Superior Day – Parks Canada brought food.

·  Ramesh Fair – Lutheran Church - $2,500 raised next day $3,000 total

·  Polio initiative – donate $100 – get pin – @ $1,000 on with stone.

·  District Governor visited Tuesday and was present at meeting yesterday. Lots of ideas discussed.

·  Lois advised that if any clubs are interested in partnering on International efforts to contact Gerry Larson of Nipigon Club.

·  Sending student to RYLA.

·  Exchange student has gone back to Thailand

·  Gerry & Joanne Larsen have initiative in Tanzania for malaria nets.

·  Nicaragua shoes – over 4,000

·  Green Team to India – Elisa Thomas

Rotaract Club Report – provided by Brandon Otway

·  Camp cancelled due to only 6 registrations

·  In lieu of camp a Day Camp has been organized for August 8, 2008. (ages 12-16)

·  Rotaract to pick up costs – all monies provided for camp from clubs will be returned.

·  Parents okay with this – will get message out through word of mouth for better results next year.

·  Many factors contributed to poor registration of camp i.e. Camp Quality changed dates, CLE as same time. (Note: Target was 40 registrants. Last year 24. 16 full-time facilitators including staff from North Dakota. Brandon lost air miles personally.)

·  Harbourview has given up parking fundraiser at CLE. Rotaract taking over. $2.00 per spot – St James Public School Library will benefit. 4 days/2 hr shifts.

·  Ian Ruberry incoming President

·  Brandon Otway asked to plan parallel conference for youths with District – will have own networking within conference.

·  Brandon Otway is District Rotaract Chair

·  Fundraiser – George Jeffries – raise monies for universal accessible playground. Meeting to occur this week. Hoping for donations and volunteers from companies and Rotary. Valentines Day kick off – dinner event $175.00 tickets. Hoping to raise $10,000. Pattison is donated 3 city buses to advertise event.

Nipigon/Red Rock Interact – provided by Lois Horton

·  Erin Bearman & Kenzie Jones (co-chairs)

·  Lee Davis and Hans Paulsen look after this

·  They held yard sale in May

·  Of the 250 kids in Nip-Rock – 10% are in Interact

·  Desks for India is one of their initiatives.

3.9 ADG Report –Clint Kuschak

·  Governor newsletter /2.71 megabits /No more printed copies /Size can be reduced if problem

·  Governor Tully was very pleased with visits to clubs – and noted that all were well prepared.

·  Lois Horton asked if accessible on District page – Gov. Tully was not sure why.

·  Rotary International – promotional ads are 30 seconds

·  On website Humanity in Motions – DVDs available

·  District is trying to promote / Excellent Public Service Announcement /It runs on Fox Sports Florida – runs late at night/early a.m. Asked to bring it forward with District and for Canada Club.

·  Ajoy talked to Doug Wells regarding sending a proposal.

·  Clint has emailed Kim Kimmer to see what we (Canada Club) can get.

·  $8,000 budget: District $2,000 – International $6,000 Ajoy has seen invoice for $4,800 for Fox Sports.

·  Clint has been asked by Governor Tully to join district Public Relations Committee with Doug Wells. Clint advised that if you are not sure about what is acceptable to speak about regarding District or International – speak to Doug or himself.

3.10  GSE – Jill Zachary

·  GSE to Taiwan

·  George Van Dam stresses importance of recruitment at club level.

·  25-40 have been in profession for 2 year period.

·  Fort William Club would like to extend invite to other clubs to assist in interviews. Beginning in August will run ad. DEADLINE: August 22nd

·  Team Leaders to submit by August 29th to George Van Dam

·  Team Members to attend District Interview at Detroit Lakes September 19/20th.

·  Short meeting with qualified candidates to prepare the

4.  NEW BUSINESS

4.1 Rotary Christmas Parade – Parade Float

·  Float concern

·  Would like to see it as Canada Club Project

·  Al Hope was the driving force

·  Question asked if Nipigon was to be included. Lois Horton advised they have a mini-parade “Parade of Lights” they are involved in.

·  Brandon Otway asked if Public Service Announcements for Rotary be utilized on float while it is moving slowly down route.

·  Parade is 3rd Saturday in November.

·  Question asked Is committee in place? Is Leslie Savitsky still chair?

Action: Jerry Williams asked the clubs go back and look at different themes they could use and report back. Jerry will look into who is the chair of this event.

4.2 Canada Games Complex

·  Rumor that closure imminent

·  Fort William Club and Port Arthur Club have given funds towards Rotary Diving Board.

·  It seems to be the idea to close all pools in future by 2012.

4.3 Rotary Anniversary Dinner:

·  Clint Kuschak advised district encourages them to be called “assembly” (4 clubs + Rotaract + Interact)

·  President Joan Krisko chairs the Anniversary Dinner for 2009…the chair of this event moves from Club to Club each year

·  Tickets $20-25.00

·  February 23, 2009 – actually Saturday before

·  Could conflict with Rotaract’s Valentine’s date
