Purpose of job
To provide high quality management and administrative support to the Directorand country Senior Leadership Team. The position works closely with the Director in a very diverse, fast paced team environment and is required to take a whole operation approach in carrying out the responsibilities. To lead on Information Management for the Directorate.
Context and environment
The British Councilis well-established in Bangladesh having opened its first office in 1951. This is a large, high priority British Council operation,part of the South Asia region, which has seven offices in three cities.The operating context is challenging as the Executive Manager needs to act as a point of contact for the Directorboth internally and externally.The post is based in the Directorate and is responsible for the provision of advisory, analysis, coordination and quality assurance support to the Director.
Accountabilities, responsibilities and main duties
  • Ensure effective internal and external communication for Director in compliance with all relevant corporate communications standards and act as the point of contact both internally and externally.
  • Work as liaison point with British High Commission(BHC) and DFID. Develop and manage effective relationship with BHC, DFID and other relevant contacts.
  • Work independently and manage routine administrative work for the Directore.g. dealing with mail, handling incoming phone calls, managing diaries, arranging meetings and venues, meeting visitors, managing Director’s visit programmesetc.
  • Demonstrate sound knowledge of existing policies and procedures; handle Directorate related internal and external queries and process/review relevant documents
  • Schedule and organise Bangladesh Senior Leadership Team (BSLT) and all-staff meetings as well as British Council Local Staff Association (BCLSA) meetings with the Director.
  • Manage and arrange BSLT meetings, including meeting papers, minutes and follow up as/ when required.
  • Lead, ensure and deliver effective coordination of Information Governance Risk Management (IGRM) for Bangladesh to aid a consistent organisational approach to IGRM.Lead IGRM Working Group.
  • To design (if required) and deliver IGRM briefingsfornew British Council staff, partners, invigilators, consultants, temporary staff, security guards etc to improve knowledge and understanding.
  • Ensure Bangladesh Intranet site is kept up-to-date and liaise with Marcomms team for posting of relevant updates in the Bulletin
  • Work with all teams to develop a British Council Bangladesh contact database and ensure it remains up to date.
  • Prepare annual public holiday list, maintain internal phone directory
  • Maintain Next of Kin details for Directorate
  • Issue reference numbers for UK visa support and maintain absolute control and compliance.
  • Manage high level events and visit programmes on behalf of Director. Prepare visit/event programmes, plan and organise/arrange logistics, deal with vendors and process POs as necessary. Work with Marcomms team to ensure standards are in line with the British Council brand guidelines. Coordinate BHC and DFID related events
  • Perform special tasks assigned by the Director. Collate and organise information, prepare summary reports to assist in decision making as per Director/SLT needs.
  • Understand country and British Council strategy and maintain relationships and communications with high profile (T1) contacts on behalf of Director.
