This page includes important information on hotel policies and

Procedures. Please read and share this information with your team

  1. As a condition of acceptance to the tournament, all out of town teams must reserve rooms through BMG and stay in an authorized hotel, at tournament rates. No other rates or discounts, regardless of how obtained, will be honored. No exceptions. Failure to comply and/or attempts to circumvent procedures and obligations may result in expulsion from the tournament. In this situation, registration fees will not be refunded.
  1. Complete all sections of the rooming list forms including the team contact page. No substitute forms will be accepted. Lists will not be accepted without a team contact page.
  1. Lists should be completed and sent to BMG by email () or fax (866-320-3781) as soon as possible. Your list will then be forwarded to the first available tournament hotel, based on your preferences.
  1. Changes to the rooming list should be coordinated directly with your team’s hotel contact
  1. Room additions, deletions and special requests or instructions regarding your team’s room block should be coordinated through your hotel contact person. All hotels attempt to keep your team as close together as possible. However, keep in mind that special requests and rooming list changes may tend to fragment your block.
  1. The hotel will accept individual cancellations until 6:00 pm 48 hours (2 days) prior to arrival for the listed party. Individuals not canceling more than 48 hours in advance will be considered a “no show” and will be charged for one room night plus tax. Early departures (parties checking out earlier than the departure date listed on the rooming list form) are subject to fees determined by the hotel.
  1. Teams canceling 50% or more of their entire room block within three weeks of the tournament start date (7/10/2010) may be subject to charges for one night per room plus tax, for their entire block of rooms.
  1. At check-in a representative of each room should leave a credit card imprint to cover incidental charges (i.e. phone calls, room service, movies, etc.) incurred throughout the weekend.
  1. Teams and individuals may check in throughout the day or evening. List check-in times are 3:00pm. All rooms are guaranteed for late arrival.
  1. All tournament hotels will require a three (3) night minimum stay. Team contacts should be aware and communicate hotel policies to their team members and parents. Any exceptions to this policy must be discussed and approved in advance of the team/individual reservation. The nights of July 10-11-12 are mandatory overnight stay dates. The nights of July 9 and 13 are optional overnight stay dates.
  1. Rooms are equipped with two standard beds or one king-size bed with a sleeper sofa bed. In an effort to accommodate as many teams as possible with their hotel of choice, hotels may occasionally assign rooms equipped with a single king size bed to parties listing only one adult and up to two children. In order to accommodate your group as comfortably as possible, if additional people have decided to attend, increasing the number of individuals in a room, it is very important to notify your hotel representative of the change.
  1. Rollaways/cots are available at most hotels. Extra charges may apply.
  1. Teams requesting lodging at the same hotel with other teams should indicate this to BMG on the Team Contact page. It is best if teams requesting to stay together submit their lists on the same day. BMG will accommodate these requests whenever possible, but cannot guarantee that suitable blocks will be available when the rooming lists are submitted.

Tournament Hotel Rules
Team Contact: Please provide a copy or discuss these rules with members of your group prior to arrival

Our hotels have asked us to provide you with guidelines for your stay during the tournament. Please remember that you are ambassadors of your hometown and organization and your behavior is a direct reflection on the community you represent.

To assure that all of our guests, and other guests in the hotel, enjoy their stay, please observe the following:

 No discounts, coupons or other hotel rates will apply to tournament guests.

Tournament Room Rates may not be available before and/or after the tournament dates. The

Hotel’scurrent prevailing room rates would apply if tournament rates are not available

 Individual room reservations may be cancelled without charge by notifying the hotel directlyprior to

6:00 pm 2 days before check-in (48 hours notice). Cancellations after this time aresubject to room

night charges.

Guests checking out earlier than their departure date are subject to hotel charges, up to and

including a full room night charge.

All children under the age of 16 must be in a guest room after 10:30 pm. After this time,

children are not permitted in the hallways or common areas of the hotel.

No basketballs are permitted in the hotels.

Children must be accompanied at all times in the hotels, including common areas and

swimming pools.

In the event of any damage to hotel property, parents and/or the team’s representative will be held

responsible to compensate the hotel for any loss. (In the event of physical damage, the

individual will be billed for the actual cost of the repairs and/or replacement of the damaged

items and the related labor costs.)

No running in the hotel hallways or common areas.

Please use the telephone system responsibly. The hotels reserve the right to deactivate

telephones if they are misused.

Hotels will provide only one warning when violations of the rules, including misuse of elevators,

excessive noise or unruly behavior is observed. Continued disruptive behavior will result in removal

from the hotel premises. No refund of hotel or tournament registration fees will be made in this case.
