RFQ Overview:

The Seneca Gaming Corporation is hosting a summer concert series at two of our Resorts and Casinos. The Seneca Allegany Resort and Casino, located in Salamanca, NY, and the Seneca Niagara Resort and Casino located in Niagara Falls NY are the venues. We are seeking a qualified vendor to provide Stageline SAM555 and SL100 mix packages rental and support staff complete with setup, rigging and teardown per Scope of Work and date shown below.

Each property is to be quote separately as 2 (two) PO’s will be issued (1) one for each.

Scope of work/Equipment List:

No substitutions are allowed

1 – Stageline SAM 555 - 50ft wide x 38ft deep main stage with guardrails on 3 sides and 3 sets of stairs with hand rails.

Please Quote the SL100 Mix as a separate line item.

1 – Stageline SL100 Mix – 24ft wide x 24ft deep mix position with audio, lighting, and spotlight platform for up to 4 spotlights.

2 – Stage wings 20ft x 40ft (20ft x 32ft covered) stage left and stage right. Covered wings will have an offstage pitched cover and will not be a tent cover. The wings will also include side walls along 3 sides that can be opened independently. The downstage 4ft of the wing will be uncovered to allow the line array speakers to be flown from the wings. The wings should have the same wind rating as the Stageline 555 of 60mph.

2 – Truck level loading dock on stage right side with 2 16ft ramps to load on to stage level.

3 – Certified Stageline technicians for setup, rigging, and teardown of Stageline SAM555

Casino will provide lodging and meals for technicians for the setup, show, and teardown days of the event.

Casino will provide 11 stagehands plus forklift operator for the setup and teardown of the stages.

Casino will provide 2 – 40ft personal electric lifts to access the rigging points once the structure has been built.

Risk Management/Insurance: At all times, during the fulfillment of any resulting Purchase Order or Contract, the Awarded Vendor(s) shall obtain and keep in force insurance coverage acceptable to SGC’s Risk Management Department. SGC’s insurance requirements for vendors vary according to the nature of the contract and degree of risk, but normally include general liability, automobile liability, and workers’ compensation coverage. In addition, in appropriate cases, SGC may require professional liability/errors & omissions coverage and/or network security/data privacy coverage. Proof of insurance coverage must be provided to SGC Risk Management Department. For any questions regarding insurance, please contact the Risk Management Department at .

Failure to maintain requisite insurance will entitle SGC to immediately rescind and/or terminate any resultant business relationship and contract with Awarded Vendor.

Vendor Registration: Awarded Vendor(s) agrees to submit a completed Vendor Registration Form and designated fees as required by SGC’s regulator, the Seneca Gaming Authority (SGA). It is the Awarded Vendor(s) responsibility to fulfill the requirements, submit information and cooperate with any SGA investigation into its business functions, structures and principals when sales by said Awarded Vendor may reach or exceed Seventy Five Thousand Dollars ($75,000); and to maintain the registration/license through the duration of any purchase order or contract resulting from this RFP. Failure to do so will entitle SGC to immediately rescind and/or terminate any resultant contract or business relationship and may result in the suspension of payments to the Awarded Vendor.

Seneca Gaming Authority License: If the anticipated rolling 365 day spend may exceed the $75,000 threshold, The awarded bidder must have or obtainan “NDRG” (or greater) Non Compact license from the SGA before any payments that exceed $75,000 can be paid under this tender.

The SGA may also, in an appropriate case, require the licensure of individual employees of the Awarded Vendor who perform certain services that are or may be closely associated with SGC’s casino operation. As SGA retains the discretion to make this type of determination on a case-by-case basis, SGC is unable at the RFP point in the bidding process to state definitively whether such licensure will be required in any particular case.

Seneca Nation of Indians Business License: In addition to SGA licensure, Awarded Vendor(s) with a calendar year spend of over $10,000 are required to obtain a Seneca Nation of Indians (SNI) business license throughout the course of any contract or business dealings with SGC. It is the Awarded Vendor(s) sole responsibility to maintain and renew the SNI business license in accordance with the terms set forth in the “Seneca Nation of Indians Business Code”. The cost of the license is currently $150 per calendar year. The Awarded Vendor must submit the application, together with the requisite fee, within 30 days following award of contract, to the following address: Seneca Nation of Indians, Business Permit Office, 12837 Rte. 438, Irving, NY 14081. On your company quotation form or letterhead, provide a package price for each weekend’s shows, per property for the dates above. Quote the SL100 Mix as a separate line item on each quote

Pricing must be inclusive of all product, labor and freight cost.

Provide your payment terms and a copy of your standard contract along with your proposal.

  1. Bidder is a reputable company fully qualified and regularly engaged in providing products and/or services necessary to meet the terms, conditions and requirements of the RFP.
  2. Bidder is aware of, is fully informed about, and is in full compliance with all applicable federal, state and local laws, rules, regulations and ordinances.
  3. Bidder understands the requirements and specifications set forth in this RFP and affirms that no compensation has been received for participation in the preparation of the specifications for this RFP.
  4. Bidder represents and warrants that all articles and services quoted in response to this RFP will meet or exceed the safety standards established and promulgated under the Federal Occupational Safety and Health Law (Public Law 91-596) and its regulations in effect or proposed as of the date of this solicitation.
  5. All statements, information and representations prepared and submitted in response to this RFP are current, complete, true and accurate. Bidder acknowledges that SGC will rely on such statements, information and representations in selecting the Awarded Vendor.
