Re: Introduction of Direct Debit processing as of 1st January 2016

Over the past 12 months we have observed the enrolment process and listened to parents regarding the enrolment process and found issues such as:

·  Long queues

·  Customers can’t get through on the phone

·  Places are missed at re-enrolment time because the notes don’t come home with your child or may have missed the notices stating it is re-enrolment time.

·  Parents didn’t see the re-enrolment signs at the centre in the foyers

·  Class costs can be quite significant and families need to manage cash flow meaning leaving it as long as possible before committing to a new term.

We have looked at ways to improve the re-enrolment process to be a less stressful and more efficient for all.

With all these factors taken into consideration, we have started the transition to fortnightly direct debit payments for all competitive gymnasts commencing in term 3 2015 moving to all recreational gym classes in January 2016.

What are the benefits to direct debit?

·  Assist parents manage payments on a fortnightly basis as opposed to upfront at the start of a term.

·  Classes are guaranteed when continuing days/times/classes

·  Re-enrolment process is automatic – no queuing or waiting on the phone.

·  Only when your child needs to move a class level do you need to see reception for class changes

What does this mean for the YMCA?

·  Staff are not delivering the unpleasant news that there child has missed a place in the class.

·  Coaches can be confirmed earlier because we know the demand we have for classes

·  Staff can perform essential roll maintenance and other administrative business requirements.

·  Improved customer experience

The implementation process will be as follows

·  Phase 1: From Monday 13th July allcompetitive gymnastics term fees will need to be set up on a fortnightly direct debit payment plan.

Direct Debit Authorisation Forms need to be returned by 13/06/2015

First Direct Debit deduction will occur 01/07/2015

Phase 2: Recreation Gymnastic programs direct debit will be implemented from 01/01/2016 . Direct Debit Authority Forms are attached to this letter

Direct Debit Authorisation Forms need to be returned by 1/12/2015

·  Forms returned by this date will receive a 5% discount on term 1 2016 fees*

First Direct Debit deduction will occur 27.1.2015.

The fees for 2015 – 2016 are as follows;

GV Registration $47.00 Recreational Gymnasts and $71.00 Competitive gymnasts (one off fee at the commencement of the year)

Fortnightly Direct debit per hour costs are as follows;

·  Recreational 1 hour = $25.03

·  Recreational 1.5 Hour = $33.11

·  Recreational 2 hours = $43.61

·  Recreational 4 Hours = $72.05

·  Gymstar 3 Hours = $57.58

·  Ed gym .45 Minutes = $21.80

·  Little ed gym 1 Hour = $25.03

Please note: Direct debit is for fees only, annual registrations will need to be paid with our existing payment methods of: eftpos, cash or credit card.

Direct Debit Authorisations not completed by the due date will be required to pay the Pro rata amount prior to the first direct debit run. This can be confirmed on booking into your class.

Information sessions will be held on the following dates and locations.

North Geelong Arena

·  11th,12th,13th November from 4.15pm – 4.45pm in the foyer

Newtown Stadium

·  25th,26th,27th November from 4.15pm – 4.45pm in the Board room.
