Introduction and Job Purpose
A key post within the HR Department with responsibility for ensuring at all times a high quality timely service delivery is facilitated to all customers, this includes:
  • providing an effective pension administration service for both the Teachers’ Pension Scheme and the Local Government Pension Scheme, as well as maintenance of the systems to support operational delivery and
  • coordinating and preparing accurate monthly payroll data ensuring full compliance with statutory requirements and within agreed timeframes
  • assisting with ensuring the Colleges Single Central Record is compliant, including administration of DBS checks, arrangement of safeguarding training
  • maintaining the integrity of HR data within all electronic data systems including CIPHR and all paper-based filing systems
  • recruitment and selection of staff – placing adverts, liaison with applicants, handling all interview arrangements and processing all documentation associated with new staff

Key Accountabilities
  1. Maintenance and updatingof CIPHR, the College’s computerised HR Information System
to ensure accurate data is recorded to support the integrity of data for statutory and College reporting. This will include: payroll, pension, absence management, appraisals, work patterns, terms and conditions.
  1. Co-ordinating and preparing accurate monthly payroll data
  1. Assist with all aspects of pension administration for the Local Government Pension Scheme and Teachers Pension Scheme
  1. Administering the recruitment & selection and induction process including the administration for all new starters, the College Website Job Vacancy section and all external vacancy advertising.
  1. Generating accurate and timely statistics and management information from payroll reports and the College HR system as required.
  1. Assisting with the completion of various data returns such as the SIR and Government Returns.
  1. Liaising with College Managers and staff in the operation and monitoring of the College Probation/Appraisal procedure.
  1. Liaising with College Managers in the organisation of the College Induction programme.
  1. Providing general administrative support including raising purchase orders, booking rooms, coordinating diaries and filing.
  1. To undertake all aspects of the post in accordance with the College’s Equality and Diversity, Safeguarding and Health and Safety policies and schemes.
  1. To comply with the College’s Data Protection policy in relation to the collection, use, storage and disposal of personal and/or sensitive data.
  1. To take personal and professional responsibility for keeping up-to-date in the subject area.
  1. To demonstrate a commitment to the safeguarding and promotion of the welfare of children and young people, including the processing of DBS checks and the maintenance of the Safeguarding Single Central Record for all staff, volunteers and contract staff.
