Private Party Rental Information and Policies
Host your special event at the Heritage Farmstead Museum where we have beautifully landscaped grounds, authentic architecture, and outside caterers are welcome.

General Information
The Heritage Farmstead Museum is about farm life on the Blackland Prairie from 1890 through the 1930’s. Built by Hunter Farrell in 1891, the four-acre site is marked by the National register of historic Places and as a State and Local Historic Landmark. It was the hub of a 360 acre working farm and was operated in later year by Miss Ammie Wilson, one of Plano’s most colorful citizens and world champion Hampshire sheep breeder. The Heritage Farmstead Association, founded in 1973, researched, planned, and raised funds for an extensive restoration project and reopened the Farmstead as a living history museum in October of 1986.

Today, the Farmstead has over 20,000 annual visitors that participate in: tours, educational programs, field trips, lectures, and special events. Financial support for the museum is provided in part by tour admissions, memberships, rentals, corporate and private donations. The Farmstead has artifacts of significant historical value; therefore, we request that all of our visitors respect this valuable landmark so that its beauty and historical worth may be preserved for future generations.

Facilities
HFM rentals are both outdoors and indoors. HFM welcomes weddings, reunions, birthday parties, company picnics, barn dances, receptions, corporate events, and retreats.When you rent at the Heritage Farmstead Museum, you are required to sign a contract agreeing with the Facilities Rental Policies handbook, and you are required to place a 50% reservation deposit of therental fee. All package enhancements will be handled during the final month before the event as an addendum to the original rental contract and is payable in full two weeks prior to the event date. Our reservation fee is non-refundable; however, the remaining 50% is fully refundable with a written request submitted at least 30 days prior to the rental date. Each rental base hours can be extended for up to 2 additional hours at $150.00/hour.

Front Porch- Parlor Garden
This peaceful setting can be the backdrop for a wedding, garden tea party, cocktail hours, after-five gatherings or other activities. This can accommodate approximately 100 seated and up to 200 reception style.

Back Porch- Garden Area
A small but lovely area that can accommodate groups similar to the front porch area. This area is conducive for smaller receptions and smaller group activities. This area accommodates up to 60 people seated ceremony style or 100 reception style.

Pole Barn
The Pole Barn, built from bois d’arc logs hauled from the Red River area, may actually predate the Farrell Wilson house. The structure functioned as an animal barn, as well as, machinery shed. Originally it has a partition with sliding doors and a hammer mill where grain was ground in bad weather. The concrete floor was added during restorations but the poles, sidesand roof are all original. The

Pole Barn (44’ X 47’) contains ceiling fans, lighting, hook-ups for bands, DJ’s, and iPods. The front of the barn is open to allow guests to move comfortably into the grassy area directly in front of the barn. A long banquet table (2’6’’x 11’2’’) is permanently placed at the north side of the barn. Stage is adjustable. There are 8 picnic tables, (3’ X 6’) available to use at no cost.

The Young House
In 2001, this 1880’s farmhouse was moved to the Museum grounds from its original site near Independence Parkway and Route 121 in far north Plano. The Young House can be rented for meetings, lectures, tea parties, and team-building exercises. The Young House can also be rented as a changing room for the Bridal party.

Meadow

Wedding Photography

One benefit of having your wedding at HFM is the opportunity for exterior photos on the grounds. Additionally, youcan take interior photos in your rented facility. As a rental package benefit, you are allowed to set-up a separate photography time atthe museum for an engagement or bridal portrait. You provide your own photographer. During this separate time, you have access tothe Bridal Suite for hair and make-up if needed. If you have not booked your wedding at HFM, you can still have bridal portraits or engagement photos taken at HFM.

HFM Ground Rules and regulations for Rentals

General Policies

The HFM is not responsible for anyone injured on the premises or for personal property left on this site. Individuals or organizations renting the facilities for private parties at HFM agree to assume full responsibility and liability for damages done to buildings or to its contents by themselves, members, guests, and organizations brought in for the event.

The HFM reserves the right to exclude any group or individual deemed to be a risk to HFM property or interests. Social clubs with established behavior of damaging or littering property constitute a risk justifying exclusion. Groups or individuals shall be given equal opportunities regardless of race, creed, color, sex religion or national origin.

The Director of HFM, with approval from the President of the Board of Trustees may cancel any function scheduled should the activities be in conflict with the stated rules or HFM scheduled activities. HFM will always attempt to accommodate the renter by offering an alternative site, date or refund fees.

The charging or collecting of admission fees or monies on the property is prohibited without the written prior approval from HFM.

Reservations and Payments
The renter is required to place a non-refundable 50% deposit of the rental fee (excludes cost of extras) at the time of the signed contract. The balance of the total rental fee is due 60 days prior to your event. All package enhancements will be handled during the final month before the event as an addendum to the original rental contract and is payable in full two weeks prior the event date.

Security Deposit
Security deposit of 50% of the rental rate (excludes cost of extras) is due at least 30 days in advance of the rental date. The deposit is refunded 30 business days after rental if all conditions of rental are met. Forfeiture or partial refund of deposit may result due to the following reasons:

  1. Full deposit forfeited if rental is canceled less than 30 days before scheduled rental date.
  2. Half of deposit is forfeited if rental is booked less than 30 days prior to scheduled rental date.
  3. Full deposit forfeited if smoking rules violated by renter and/or guests or contractors.
  4. Full deposit forfeited if property is damaged by Renter, guests, or outside contractors. Damages exceeding the total of deposit are billed to renter.
  5. Full forfeiture of deposit if renter does not clean grounds of decorations, litter and other debris and/or failure to clean dressing rooms.
  6. Items rented from outside contractors not removed by 12:00 noon the day after the event, (additional costs are charged for items left on grounds overnight unless prior permission is granted) will result in full forfeiture of deposit.

Deposit is fully refundable if the deposit is given at least 30 days prior to the event, and if the contract is fulfilled.A letter must be received by the Farmstead at least 30 days prior to the event for cancellation notice.

Cancellation Policy
Our reservation fee is non-refundable; however, the remaining 50% is fully refundable with a written request submitted at least 30 days prior to the rental date.

Staff Security
HFM staff is required to be on duty at all rental events and bears full authority. Additional security is requested for all rentals of 100 people or more. Security is arranged by HFM and paid by the renter at $40 per hour.

Adult Supervision
Minors must be supervised by an adult 21 years of age or older as follows:

  • Children ages 12 and under must have 1 adult per 5 children
  • Children ages 13 to 18 must have 2 adults per 12 teenagers.

Alcoholic Beverages
Alcoholic beverages are permitted and must comply with the rules of the Texas Alcoholic Beverages Commission and ordinances of the City of Plano. The renter agrees by signing the contact, to be responsible for all damages associated with the serving of alcohol. No alcohol can be sold on the premises.

Catering
All food delivered to The Heritage Farmstead Museum must be prepared in advance in a licensed kitchen. Use of BBQ grills with charcoal starter or deep fryers is strictly prohibited.

Smoking
HFM is a smoke‐free facility and smoking is prohibited on the grounds. Smoking is permitted ONLY in the HFM parking lot and/or an area arranged through HFM and after receipt of signed “smoking agreement.”

Pets
Pets are not allowed on the grounds at any time unless prior permission is granted.

Decorations
Decorations or signs may not be affixed to any structure, object, or collection with any damaging substances. Free-standing decorations or those suitable attached are allowed. Sturdy votive candles are permitted. Votive may only be used in candelabra or other similar holders on covered tables. Citronella candles may also be used during events. No candles left unattended. Renters will be made aware of the locations of fire extinguishers. Birdseed and fresh flower petals may be used for weddings on the grounds of the Farmstead with the exception of the parking lot. Confetti, rice and potpourri are prohibited. Balloons are strictly prohibited.

Outbuildings
Renter and guests are not permitted in the museum or small outbuildings without permission from HFM staff.

Clean-Up
Party host is responsible for clearing grounds and buildings used. Grounds must be left clear of decorations, litter and debris. Trash should be placed in bins provided. If serving trays containing water are used, the water should be emptied behind the barn facility and not directly in front of the barn.

Photography and Film/Video

The historic buildings and grounds of the Heritage Farmstead Museum provide a wide variety of settings for portrait or commercial photography. For more information on any of the below options, please contact Lauren Huber at or call at 972-881-0140.

Portrait Photography

Portrait photographers are welcome at the Heritage Farmstead Museum! Our historic grounds, beautiful parlor garden, and large shaded trees make the perfect setting for portrait photography. Photographers can shoot portrait photography FREE for a year if the following requirements are met:

  • Become a Photographer Member at the Heritage Farmstead Museum.
  • You must shoot during regular operating hours of Tuesday-Sunday, 10:00 a.m. – 4:30 p.m.
  • Photographer’s clients are required to pay regular admission prices of $5.00 per person.
  • Photographers may use the property for individual or subject specific sessions.
  • No dressing areas are included. If dressing or staging areas are needed, these will be charged at rental pricing of $50 for suites and/or required spaces.
  • No interior photography is allowed with this package. If interior photography is requested, you will be charged at the commercial photography rates. Scheduling is required through Lauren Huber and is contingent upon the permission of the Curator. The Curator must be present for any interior photography at the rate of $25/hour.
  • For non-members, portrait rates are $100/hour
  • Ifa photo session includes 5 or more subjects, it is considered commercial photography and the photographer must pay Commercial Photography Rates.

Commercial Photography, Video and Film

The Heritage Farmstead Museum is the perfect setting for your next commercial project! The museum grounds and buildings are available in a limited capacity for commercial photography, video and film production. HFM is a great destination for commercial photographers and advertising agencies. Our landscaped grounds and historic buildings are the perfect backdrop for product and catalog shoots. Because the museum is closed to the public on Mondays, it’s a perfect day for the trade to come in and take advantage of our beautiful setting!

Commercial Photography/Video Rates
