POST: GOODS INWARDS AND DISPATCH MANAGER

RESPONSIBLE TO: PRODUCTION MANAGER

PURPOSE OF THE ROLE: To ensure all inward laundry is received and verified and prepared for processing. To ensure processed laundry is packed, stored and dispatched to customers.
ROLE DESCRIPTOR: St Jude’s laundry, part of the Forth Sector Group, has provided quality laundry services to discerning customers for 50 years and has a Royal Warrant. This is a management position. Your role will be to take responsibility for the effective and efficient management of laundry delivered from private and contract customers and to ensure that it is delivered back to customers on time and in line with requirements. You will lead a team of up to 20 people, with responsibility for their performance and safety. Reporting to the Production Manager, you will work closely with fellow team leaders to ensure a smooth, efficient process where quality and customer service are paramount.

MAIN TASKS

Organisation and Processes

·  To manage inward laundry receiving process from both private and contract customers: verify laundry received to customer documentation, identify and record variances; check laundry for damage and ensure damage is noted; deliver sorted laundry to the washhouse in a timely and efficient manner

·  To manage outward laundry process: ensure processed laundry is packed in a manner consistent with client requirements, ensure correct laundry quantities received reconciles to delivery note; manage the efficient storage of packaged laundry prior to dispatch, collate all delivery documentation including delivery notes and client invoices; ensure laundry van delivery routes are efficiently planned

·  To plan and optimise staff coverage, ensuring sufficient resources are available to meet anticipated demand on a daily, weekly and monthly basis

·  To direct staff in processing, ensuring efficiency and effectiveness

·  To work closely with colleagues, especially other team leaders, to ensure Inward/Outward laundry processing is coordinated and carried out smoothly and efficiently, making best use of available resources

·  To train staff in efficient processes and equipment operation

·  Managing and replenishing disposables

Quality Control and Customer Service

·  To ensure customers’ laundry is correctly accounted for and handled with due care, minimising or eliminating errors and damage caused by poor handling

·  Ensure deadlines for returning customers’ orders are met, without exception

·  Ensure customers are kept informed whenever it is appropriate

·  To be responsive to customer queries and complaints, dealing with any issues quickly, effectively and courteously every time, within the terms of the customer charter

Performance Management Team Development

·  To manage the performance of each member of the team, including productivity, quality, working relationships, discipline and absence, by setting objectives and standards within the organisation’s policies and procedures

·  Develop the skills/ knowledge of Depute so they can perform duties in your absence

·  To set and monitor team performance against targets

·  To engender a team spirit, built on cooperation and respect and to engage in team development activities

Health and Safety

·  Within the limits of responsibility, to ensure a safe, healthy working environment for anyone entering the work area or carrying out tasks in it

Administration

·  To carry out whatever administrative procedures are required for the area of operation, including recording and communicating data and information
