Job Purpose

To act as Company Manager for the Ballet Central tour and to provide administrative support to ensure the smooth running of the 3rd Year Students’ BA (Hons)degree course.

Key Accountabilities

Ballet Central

  • Negotiate and book Ballet Central’s annual tour, to approximately 25 venues (minimum of 20);
  • Agree the contractual terms at each venue;
  • Manage and operate the tour within the set budget, overseeing each department’s expenditure;
  • In consultation with the Communications Manager, manage the Communications budget for the tour;
  • Recruit technical staff as required;
  • Prepare induction packs for any new Ballet Central staff;
  • Ensure all musicians and musical requirements for the tour are booked/provided, including the research into and organisation of all performing rights licenses and copyright clearances;
  • Arrange / book accommodation and travel for staff and students involved in the tour;
  • Prepare choreographers’ contracts in consultation with the CSB Director;
  • Hold tutorials for the Students in CV writing, How to Book a Tour and Personal Tour Planning;
  • Manage the administration of the assessments for the BA Hons Degree students, which includes logging of all data, calculating of module marks and final degree marks;
  • Co-ordinate the smooth running of the Ballet Central tour in all aspects;
  • Serve as the main point of communication for the Ballet Central Company while out on the road, both staff and students;
  • Serve as the main contact point for all Ballet Central venues, accommodation/coach company and coach drivers on tour;
  • Ensure all accommodation/transport payments are made on time;
  • Draw up arrival/departure schedules for all accommodation and the coach company;
  • Allocate rooms in all accommodation and send all room lists prior to arrival;
  • Accurately record all petty cash expenditure on tour;
  • Allocate and distribute per diem allowances to the Company;
  • Ensure correct invoices are sent/payments are received from all theatre venues, depending on the box office deal;
  • Plan, establish and circulate schedules related to Ballet Central’s rehearsals and performances as required;
  • Liaise with sponsors and be responsible for the provision of any hospitality requirements linked to performances and in-house events;
  • Oversee the forward planning and provision of technical requirements at each venue, ensuring plots and schedules are agreed;
  • Ensure all musicians and musical requirements for the tour are booked/provided;
  • Maintain accurate and full records of performances and venues visited;
  • Write a show report after each performance as required;
  • Sell the Ballet Central programmes and merchandise at each performance and look after the FOH displays;
  • Take responsibility for all Health and Safety issues on tour, ensuring that policies and procedures are followed;
  • Ensure effective communication at all times within Ballet Central and between Ballet Central and the School;
  • Arrange weekly Ballet Central meetings, circulate the agenda, record and type up the minutes;
  • Check timesheets for the technical staff on a fortnightly basis, and sign off the technical staff at the end of their contracts;
  • Co-ordinate the summer performances at the Unicorn theatre in July;
  • Co-ordinate the 3rd years Graduation ceremony at the Unicorn theatre.

Administration

  • Through liaison with the Senior School Administrator, assist in the co-ordination of the timetable for the 3rd Year Students, taking account specifically of tutorials, Ballet Central meetings and student absences due to attendance at auditions etc.;
  • Arrange and attend pre-tour seminars covering all aspects of touring;
  • Ensure that the Ballet Central work is understood in the context of the students’ degree course and its contribution to the students’ Professional Development Portfolio;
  • Assist with the administration of the assessments for the BA (Hons)degree students, which includes logging of all data;
  • Liaise with the University of Kent to prepare the Canterbury graduation ceremony;
  • Notify the students of upcoming auditions/company classes.

General

  • Adhere to School policies, procedures and guidelines;
  • Assist, support and attend events/performances as requested;
  • Contribute to the operating values and ethos of the School as determined in its mission statement;
  • Exercise discretion/confidentiality in business, personnel and financial matters externally, particularly regarding press/media and potential competitors.

Person Specification

Essential

  • Ability to work flexible hours to meet the needs of the tour;
  • Excellent communication skills;
  • Excellent administrative skills;
  • Excellent IT skills – Word, Excel and Access database;
  • Experience in budget management;
  • Attention to detail;
  • Ability to problem solve;
  • An interest in dance and dance education
  • 3 day First Aid qualification

Desirable

  • Good knowledge of tour planning;
  • Knowledge of dance/ballet and practical theatre;
  • Foreign language/s.

Terms and Conditions

  • This is a full time post.
  • This position is for maternity cover and will terminate when the post holder returns to work at the end of her maternity leave.
  • Normal Working Hours = 37.5 hours per week at times to be specified/arranged and will include evenings and weekend working during the tour period. There are no overtime payments linked to this post, but TOIL may be taken in arrangement with the Artistic Director of Ballet Central.
  • In line with School Policy, this post requires a Criminal Records Bureau Enhanced Disclosure;
  • In line with School Policy, administrators are requested to undertake a 3-day First Aid course at the beginning of their contract, and to attend refresher courses as necessary to ensure the qualification remains current;
  • Holiday Entitlement = All English Bank & Public Holidays, plus 20 days per annum pro rata, rising to 25 days after completion of two years’ service;
