Policy Regarding Use of the Audio/Visual (AV) Systems of Richview Baptist Church

Purpose
The purpose of this policy is to establish guidelines for use of the audio/visual (AV) equipment owned by Richview Baptist Church for church services, church-sponsored activities and private functions (weddings, funerals, etc.). This policy reflects the desire of the AV team to maintain all components of the AV systems at a fully operational level for communicating our worship and praise to the Lord continually.
Systems Included
This policy applies to all AV systems and related components of Richview Baptist Church, including but not limited to:
● the main sound system installed in the auditorium
● the portable sound system
● video projectors (excluding youth room*)
● all related components (speakers, microphones, amplifiers, cables, computers, etc.)
Who May Operate the Systems
In order to minimize risk and damage, only those specifically trained by the AV team may operate, change, or make repairs to the AV systems of Richview Baptist Church. No untrained person may operate the systems. Persons who have previous experience must receive approval from the AV Coordinator before operating AV systems.
A member of the AV team will always be given the first right of refusal to operate the systems for an event. This will be conditional on the team member having appropriate experience and knowledge of the event for which support is needed.
Note: Failure to follow this section of policy will result in consequences that could include but are not limited to: locks being changed and other access restrictions.
Sunday Services
It is understood that all Sunday Services will require AV support. The AV Coordinator will be responsible for scheduling members of the AV team for eachservice. The Worship Coordinator or Planner should contact their scheduledsound person one week in advance to provide their requirements (vocals,instruments, videos,recordings, etc.) for the service.
System Usage Apart from Sunday Services
Use of AV systems apart from Sunday services requires prior knowledge and approval of AV Coordinator. Support for other church-sponsored activities and for private functions must be requested by contacting the AV Coordinator. AV support is NOTapproved automatically even if use of the church building has been approved by church staff, elders, or deacons.
Off Site Usage
Use of AV equipment off church premises is not recommended but may be warranted in specialcircumstances. However, no AV equipment may be used off site withoutthe expressed approval of the AV Coordinator.
Notice Required
Requests for AV support or equipment must be received by AV Coordinator at least one week before the event using the Church Room Request Form. This form is available from the church office or online fromrichviewchurch.com (in Resources section).
We highly recommend giving two weeks’notice or moreif possible to facilitate organizing, planning, equipmentrental (if necessary), setup, and testing, but we recognize that this is notpossible for certain events (e.g. funerals). In such cases, it is imperative that the AVteambe informed as early as possible.If less than one week’s notice is given, the AV team may not be able to provide the sound support requested.
The AV systems and team member will be available for one entire practice foranyscheduled event. If the AV team member or the leader of the event feels that morethan one rehearsal with soundsupport would be beneficial, consultation will occur to finda mutually agreed upon plan thatincludes at least one week's notice of the additionalrehearsal(s) for all parties involved.
Review
This policy should be reviewed approximately every two years. Your prayers are always graciouslyaccepted as the AV team seeks to do the best possible job in serving our Lord.
