1. You are requested to please forward your quotation for the following item. Detail of item required with terms and conditions are given below:-

2. Rates will be quoted on FOR Taxila Cantt basis. Offer maximum discount while submitting your quotation.
3. Over writing and cutting of any nature in the quotation will not be accepted/entertained.
4. Please forward your quotation not later than 17 JAN 2018. The address of the envelope will be indicated as under:-

5. Quotation must be submitted in triplicate, ORIGINAL AND DUPLICATE COPY, should be duly priced and ‘TRIPLICATE COPY’ be submitted without price. One (Single) copy of quotation will not be accepted and will be returned to the firm concerned without any action.
6. Delivery Of Tender The tender / quotation will be enclosed in sealed cover which will be invariably marked with quotation against tender inquiry no. 4756/IT-256/OIL-INSTL/MD-PROC DATED 04 JAN 2018 complete address. The tender if brought by hand, the same will be handed over to the staff of HRF (T) procurement coord section (T) for placing the same in quotation box available and completion of relevant records. The quotation will not be brought by hand by any firm while visiting the Office of Deputy Assistant Director (Procurement).
7. If required endorsement is not made on the envelope, quotation is liable to be disqualified. The quotation will be opened on 17 JAN 2018 at 1100 hours in the presence of the representatives of the firms in Procurement Branch HRF (T), Heavy Industries Taxila.
No quotation will be entertained / considered after 1030 hours, on the aforementioned date, Firm’s representative may attend tender opening activity if they wish at Procurement Branch
HRF (T), HIT Taxila Cantt.
8. The stores will be delivered on HIT Taxila Cantt FOR Basis within One month after issuance of Contract / Order.
9. If the stores with the quotation do not fulfill the tender requirements / standard specifications then the next lowest offer will be considered. HIT may rejects all bids or proposals at any time prior to the acceptance of a bid or proposal. HIT shall upon request indicate to any supplier or contractor who submitted a bid or proposal, the grounds for its rejection of all bids or proposal, but is not required to justify those grounds.
10. Sample will be supplied by the firm, if required.
11. Please indicate full details (specifications, manufacturers etc) of the store offered in your quotation. If the details are found missing, the quotation will automatically stand disqualified and rejected.
12. The stores should confirm to prescribe specifications / sample if available with this office.
13. The store will be packed in standard grade worthy of transportation by the means adopted.
14. This inquiry may not taken as an indication of subsequent supply order and does not in any way commit HIT to purchase the item’s offered.
15. In case of failure to supply the stores within stipulated period liquidated damages at the rate of 2% but not less than 1% amount involved per month or a part there-of-will be levied.
16. In case of any dispute regarding the terms and conditions and the quality of stores, the decision of the Managing Director Heavy Rebuild Factory (T) will be considered as final and binding on the suppliers / firms.
17. In case your firm fails to execute the order within the stipulated time and does not materialize the supply of ordered stores, the supply order/contract will be cancelled at your risk and expense. Expense expenditure incurred on the repurchase of offered stores will be recovered from your firm under existing procedure.
18. Indenter / purchaser reserves the rights to increase /decrease the quantity of items, placed on the tender without any reference to the firm.
19. Partial payment against partial delivery is NOT Allowed.
20. All clauses /terms mentioned in this inquiry will be considered accepted by the firm in case no reference to them is given in the offer.
21. Offers must remain open / valid for 100 days from the date of opening of the tender.
22. In case you do not wish to quote please return the tender documents duly signed and stamped at your earliest.
23. The prices quoted must be firm and final and inclusive of all taxes, packing, handling charges etc and delivery at HIT Taxila Cantt.
24. Postal Order for Rs. 200/- (Rupees Two Hundred) in favour of Managing Director HRF (T), HIT Taxila Cantt will invariably be enclosed with the quotation, failing which the quotation will be ignored.
25. Firms are instructed NOT to send Fax quotations. Such quotations/offers will not be accepted.
26. Following confirm regarding ready availability of the advance sample will be endorsed by all the bidders in their offer.
“It is confirm that advance sample of the items mentioned in the quotation are readily availability”.
27. Please confirm receipt of the tender inquiry and also intimate your participation or otherwise in this tender inquiry.
28. On demand the bidder will invariably provide advance sample (where applicable) of the item offered to them, with in the limit specified by the purchaser. In case advance samples are not provided by the bidder by due date their offer will be set aside ignored.
29. Conditional offers will not be accepted.
30. 5% security deposit (of contract value) will be provided by the firm on receipt of the contract. The same will be released after one year from the date of delivery and acceptance of stores.
31. Inspection of the stores will be carried out at HIT Taxila Cantt.
32. Offer should be as per tender specifications. Multiple offers will not be accepted.
33. The firms which is not registered with HIT can participate in the tender by depositing 5% earnest money of total contracted value. The earnest money will be submitted in the shape of CDR/Bank Guarantee to Managing Director HRF (T), HIT Taxila.
34. In case of any unregistered / un indexed firms stands lowest in the bid then contract will only be awarded to that firm on its formal registration with HIT.
35. Technical literature / Brochures of the item / equipment will also be provided along with the Sealed Quotations.
