(a) Prequalification & Registration of New Suppliers (Vendors/Contractors & Manufacturers) in Commercial Directory
  • Handling suppliers queries through email, Telephone calls & walk in suppliers with requests for registration and to reply them the procedures and requirement related to Registration.
  • Sending appropriate questionnaires for Registration to the Suppliers according to their business activity.
  • To check and verify all the submitted documents by the suppliers for Registration and informing suppliers about the missing documents.
  • Preparing Assessment Scorings based on the submitted documents as per the Suppliers Prequalification Policy & Procedures guidelines.
  • Organizing meeting with Suppliers Prequalification Committee for the approval of new cases for registrations.
  • Preparing Minutes of Meeting and circulating to Supplier Prequalification Committee for their review and approval.
  • Arranging Site Visits to the Suppliers in co-ordination with HSSEQ & End user (if recommended by Supplier Prequalification Committee). Preparing Site Visit Reports based on HSSEQ submitted report.
  • Informing Suppliers the site visit results and highlighting the negative observations and informing suppliers to do necessary improvement as suggested by HSSEQ in their report.
  • Preparing Registration Confirmation Letters for the newly registered suppliers.
  • Follow-up with suppliers to complete timely registration process to whom we sent Questionnaires for registration.
  • Maintaining suppliers electronic communication records related to any issue for the delay in registration, name change, disqualification&, rejection of registration etc.
  • Review & Ensure that an efficient computer based system is in operation with accurate details of supplier contacts, products & services.
  • Assisted Sr. Prequalification Engineer in carrying out the co-ordination and analysis of activities and other reports related to the registration and procurement support functions and suppliers annual performance report as directed from time to time.
  • Creating New Registration Codes for the suppliers in Commercial Directory, Entering data of new registered suppliers including product group, work group& contact details.
  • Arranging products presentation meeting with the Suppliers and end users and further prequalifying Principals or updating the existing data of suppliers with the additional products.
  • Arranging Meeting with Suppliers, Buyers or end-users in case of any delay in supply of material or non-compliance to Purchasing Policy and proceed for further action for issuing warning or disqualification of supplier in co-ordination with Sr. Prequalification Engineer and Supplier Prequalification Committee approval.
  • Preparing Bidders List for RFQ/LTPA’sContracts
  • Handling Tenders for Asset/Scrap Disposal as directed by Manager, Procurement Support Department which includes:-
Preparing EOI & other Tender documents required for approval.
  • Co-ordinate with End User in order to arrange inspection visit of Buyers for Asset/Non Asset Equipment disposal and issuing them Tender documents.
  • Recently managed a Team of 4 personnel hired by the Company during implementation of i-supplier portal for online registration, assisting them to enter the required and accurate data of the registered suppliers in the new system (Oracle based).
(b) Updating existing suppliers data in Commercial Directory
  • Sending Supplier Updating Forms to the registered suppliers whose data is not updated in the Commercial Directory (if required) OR upon suppliers request for additional products or service updates.
  • Entering the data in the Commercial Directory as per the updating forms submitted by the suppliers.
  • Following up with the suppliers for the submission of renewed licenses and renewed Agency Certificates as and when required.
  • Communicating with the registered suppliers in case of the change in their name, contact details, activities etc.
  • Maintaining Excel File to track the expired licenses of the registered suppliers and further to send reminders to submit renewed license.
  • Maintaining Excel File - record for new registration requests with pending and closed cases & Follow-up with suppliers to complete the registration process to whom we sent Questionnaires for registration.
