GETTING STARTED

The system can be accessed the following ways:

·  By typing http://jobs.monmouth.edu/hr in the address block of your browser, OR

·  From the University web site, under Resources, Human Resources, Quick Links – Personnel Actions

You can also create a shortcut for your desktop if you so desire.

The login screen for the system will appear and should be similar to the image shown below.

Log in using your network user name and password.

If you have difficulty with this step, you may call HR at extension 3541 or the Help Desk at extension 4357.

Since this system is web-based, you can also access it from any off-campus location.

Once you are logged in, your screen should now look like this:

Positions will only appear on your home page if you have active searches in process.

User Types

First, you should check what your Current Group is:

Your current group will always:

·  correspond to the request that you are working on

·  be related to the steps in the electronic routing process

·  be referenced in the notification e-mails that you receive

·  have varying security access and user rights.

Also known as User Type, you can switch your role by selecting the menu item along the lower left-hand margin called Change User Type:

Examples of user types are:

Evaluation Reviewer (when you need to review an appraisal that has been submitted to you)

Hiring Official/Supervisor/Search Chair (when you need to begin an appraisal for an employee who reports to you)

Employee (when you need to sign off on your own evaluation from your supervisor)

If you need to change your user type to work on a request, simply follow these steps:

  1. Select Change User Type
  2. Choose a role by clicking on the corresponding bullet
  3. Press Change Group.

You may notice that your home screen looks different, and the items that you have access to have changed as well.

Creating a Performance evaluation

You will need to be signed in as Hiring Official/Supervisor/Search Chair user type to initiate an evaluation.

To begin a Performance Evaluation, select “Begin New Evaluation” on the navigation bar

To start your evaluation, select “Start Action” under the appropriate performance evaluation type:

Search for the position which you would like to evaluate:

Click “Start Action” under the position which you would like to evaluate:

Step through the evaluation answering the information accordingly:

Once you reach the end of the Performance Evaluation, scroll down to make sure that you have selected the appropriate Next Level Reviewer from the drop-down menu on the Evaluation Details tab:

This will tell the system who should receive the form next.

Then choose the appropriate step to forward the Evaluation and select Continue and Confirm.

Workflow for annual evaluations

reviewing/APPROVING an evaluation

You will receive an e-mail notification from the system when you have an evaluation to review.

You will need to be signed in as Evaluation Reviewer user type to review an evaluation.

Select Pending Evaluations from the menu on the left.

Select View under the Job Position Title to open the evaluation for review and forwarding (see prior section regarding appropriate routing).

Once you reach the end of the Performance Evaluation, scroll down to make sure that you have selected the appropriate Next Level Reviewer from the drop-down menu on the Evaluation Details tab:

This will tell the system who should receive the form next.

Then choose the appropriate step to forward the Evaluation and select Continue and Confirm.


probationary evaluations

Human Resources will initiate Probationary Evaluations and forwards them to the appropriate supervisor:

You should then complete and forward the evaluation to your supervisor, or to Human Resources (if you an Area Cabinet Officer).

university special services representatives

(Ussr) evaluations

Human Resources will initiate University Special Services (USSR) Evaluations and forwards them to the appropriate field supervisor on a quarterly basis:

Please note that this type of evaluation is for feedback to Human Resources only. The employee does NOT view this form. It is used for creation of their annual performance evaluations.

If you would like to know the status of your evaluations, click on Search Evaluations on the left margin:

You can select certain positions or all:

Your results will indicate what part of the process the evaluation is located currently:

Employee review

Human Resources will release each Evaluation to the Supervisor to review with his/her employee. A corresponding e-mail notification will advise you of this. Then the Supervisor will need to log into the system to release the Evaluation to your employee after you meet with him/her.

Next, the employee will need to log in to sign off on his/her Evaluation. Please note that the User Type must be set as “Employee”.

The employee should click on Pending Evaluations and then View (under the position title).


The employee should read each page, and then indicate his/her agreement on the Comments page. This will enable to printable version of the Evaluation to display the response.

Last, the employee should return the Evaluation to Human Resources by selecting the appropriate bullet. This will flag the evaluations by the answer selected and also notify the supervisor that the employee has reviewed the form.

Human Resources will the mark the Evaluation as complete, and the form will be stored in the Historical Evaluations area.
