Patron Registration

First determine that the patron does not already have a library card by searching the database (see procedures for Searching for Patron Records).

There are two ways to begin creating a new patron record:

·  Select the New icon in the Toolbar at the top of the screen.

·  Scan the patron barcode from the new card you will issue the patron into the Key or Scan Patron Barcode box.

The Insert Patron Record – New Patron wizard will begin.

The first of several Edit Data boxes displays. The boxes will prompt you to enter information about the patron. (Please see the Appendix A – Patron Registration Standards for the proper format for entering the patron’s information.)

The Edit Data boxes will provide you with a number of choices for entering information. To enter the information, type the code in the box (ex.1) or to view the choices double-click inside the input box this will open the Select dialog box that lists the choices available. Select the appropriate choice then select OK (ex.2). You can proceed to the next Edit Data box by choosing Next.

The boxes will appear in the following order. Enter information as described above. If you do not enter anything, the default entry will be the first choice from the top of the list or the field will be left blank.

1.  REG LIBR is used for the registering library. When entering a new patron record, use the code for your library where the patron is receiving the card.

2.  Enter birthdate.

3.  Enter the patron’s gender.

4.  P TYPE (Patron Type) is assigned by the registering library. Select the appropriate choice as determined by your library’s policy. See the Appendix D – III Patron Types for more information on Patron Types.

5.  BORO/TWP is the patron’s Municipality where they live. (Please see the Appendix B - Municipality Codes information sheet for the proper code.)

6.  Home Library is based on the municipality of the patron. (Please see Appendix B - Municipality Codes information sheet for the proper code.)

NOTE: use only the two character library code.

7.  Enter the patron barcode from the new library card.

NOTE: You will not be prompted for the barcode if you scanned it at the beginning of the patron registration process.

8.  Names should be entered LAST NAME, FIRST NAME.

9.  Enter the patron’s address.

NOTE: If you need additional lines in the address field, use the $ to add a blank line. When you enter the $ at the end of the first line, an additional line will be added.

10.  Enter the patron’s telephone number. If the patron does not wish to receive Telephone Notification, enter two # signs before the telephone number. Ex. ##412-555-5555

11.  An email address can be entered for all patrons who wish to receive e-mail notification for holds and overdue notices.

12.  The Unique ID may be used for driver’s license, state identification, or student ID number. (Please see Appendix A – Patron Registration Standards for the proper format for entering the Unique ID).

13.  The Initials field is used to identify the library and staff member creating the new patron record. The first two initials are the library’s location code. The second two or three initials are for the staff member.

14.  If all of the information has been entered correctly, click on Save/Cl.... The system will assign a unique patron record number to the new record. It is also a searchable index. After clicking on Save/Cl...., the customer’s registration is complete and the system will return to the checkout screen, with the customer’s record displayed.

15.  If you have made a mistake during the creation of the record, you cannot make corrections until you have completed the template. You can edit the patron record after you have completed all of the steps of the patron registration template.
