Director of Property Management

General Position Summary:

The Director of Property Management is a member of the Senior Management Team and is responsible for the overall successful operations of the properties. This includes oversight of the property operations personnel, tenant relations, planning and risk management.

This position reports directly to the Executive Director.

Responsibilities:

  • Analyzes monthly performance and budget projections and compares to annual management plan and budget; adjusts strategies accordingly
  • Prepares annual property budgets, with input from Leadership Team and Property Managers
  • Maintains good working relationship with community partners.
  • Regularly communicates and cooperation with Leadership Team.
  • Sits on various committees pertinent to department.
  • Stays abreast of property management and other real estate related industry standards, legislation impacting department and industry practices, policies and procedures.
  • Prepares reports for the Board. Attends Board Meetings.

Select, manage and develop a team of property managers in accordance with company policies, procedures and applicable laws. Responsibilities include hiring, training and development of the property management team.

  • Assists in the development and implementation of workout plans to resolve Watchlist issues and maintains Watchlist data.
  • Conducts and/or facilitates regular training meetings with PM staff.
  • Reviews monthly financials including aged receivables and conducts annual site inspections
  • Develops and maintains property management systems, including policies and procedures.
  • Directly supervises and works closely with the Property Managers to provide leadership for department
  • Ensure coordination of property operations, including building maintenance and rehabilitation work.
  • Evaluates and recommends additional trainings for staff as needed.
  • Mentors employees and train them on various best practices through a hands-on training approach and through special focused training seminars lead and designed by you.
  • Provides technical assistance to property managers

Education and/or Experience:

  • Bachelors Degree in business, real estate development or related field preferred with sufficient experience to provide strong leadership in property management.
  • A minimum of 3 years equivalent level experience in managing a property management department or division strongly preferred.
  • Supervisory experience in residential property management, including affordable housing
  • CPM and/or Real Estate Broker license preferred.

Job Scope:

  • Performs duties independently with little direction provided.
  • Position involves a high degree of complexity in dealing with frequent new and varied work situations.
  • Work is reviewed on a general basis only as necessary.

Job Conditions:

  • Must provide proof of valid driver’s license and vehicle liability insurance.
  • Position experiences interruptions, need for frequent shifting priorities, and deadlines.
  • Requires site visits and use of own vehicle.
  • Requires some evening meetings.
  • Regular attendance is required in accordance with a regular schedule established for the position by the supervisor.

Specific Job Skills:

  • Ability to analyze, evaluate and act on issues and/or problems, reach sound conclusions and take appropriate action.
  • Strong knowledge of property management and tenant/landlord practices, laws, rules and regulations.
  • Familiarity with building maintenance systems.
  • Good command of leasing practices.
  • Experience with YARDI property management software helpful.
  • Knowledge of government housing programs and regulatory requirements.
  • Bilingual, English/Spanish & bicultural a plus
  • Possess good verbal, written and interpersonal communication skills, as well as solid computer skills
  • Strong management, team-building and interpersonal skills.
  • Strong administrative skills.
  • Sensitivity to racial, social and economic diversity
