OUAC Michaelmas Term Committee Meeting Minutes 8th Week

Agenda:

  1. Overview of all committee members progress this term (10 – 20) seconds each

Miles: Nothing to discuss

  1. Indoor competition fixtures
  2. How many competitions?
  3. Which dates?
  4. How much money to spend on transport?
  5. BUCS indoors

Miles: Need to sort today, two competitions we’ve usually used. Fixtures are, Dan hooker suggestsLondonindoors and Southerns, Cardiff an option but bad for 400m. Competitions good around end of January and mid February. Keep season starting too early and rest for FEAR.

Sandy: Jumps can sort themselves and tag along to other, priorities runners.

Miles: Not manypeople form XC keen to do indoors. Focus on sprints and throws.

Hugh: Any competition experience is good.

Cameron: As 400m runner, southerns and London indoor games were good and the setup we did last year, both at Lee Valley so good practise for FEAR.

Hugh: Southerns are good as if you qualify you can do multiple races.

Miles: Southerns and London indoor games are chosen, label those two as the ones for free transport.

Ed: Fine to fund both of those for selection

Jack: More heavily stress that those are the selection meets, if someone wants to do another then that fine.

Miles: Transport and hotels for BUCS indoors, book hotels now

Hugh 2-3 rooms on a Travelodge on Friday and Saturday.

Miles: Maybe one more room

Cameron: had 4 rooms last year

Matt to book 4 rooms for BUCS indoors now!

Miles: Distance medley instead of 4x1500, the blue ribbon event for indoors in a lot of places. 1200, 800,400,1600 will be exciting.

Cameron: How does selection work?

Jack: Best 4 runners in 400 and 5th in medley.

Miles: Timetable not finalised but will likely be towards the end.

Emma and Jack to push people signing up asap.

Miles: Post FEAR meal, long time to book but need to keep on.

Matt: floating the idea of FEAR, sponsorship document. Joining it with Cambridge as lack of funds.

Miles: Not much more about FEAR

Matt: transport arrangements, 1 coach and 1 minibus to book now.

  1. Monday gym slot and overall training timetable

Miles: Feedback from squad leaders, seems to be a lot of confusion as to what to do with the day. Applied for next terms Monday gym slot.

Emma: Sprints squad have changed their schedule on Monday.

Hugh: So have long sprints.

Heather: Could it be used for throwing indoors.

Miles: Lost only joint squad training session, big concern.

Hugh: Lost of people train on Sunday could join everyone together.

Miles:Could use café?

Emma: Café is average and not suitable.

Miles: Need cohesion in the team.

Hugh: Usually comes towards FEAR but would be good to get some early.

Miles: Would be nice to have an event every week or two.

Jack: Could ask to use Vinnies for cooking? “Paget to cook”.

Anna: Difficulty getting women together for meals and stuff.

Miles: Would be good to have some more wholesome activities instead of crewdates.

Heather: BBQ at the track? Use microwave to cook food. Use it to have post food sessions… Bit cold though.

Emma: Having food together after training?...

Hugh: Mario’s for Sunday lunch?

  1. Annual dinner speaker – someone to take responsibility

Miles: Lots of quotes from colleges, all in the pipeline. But need someone to take responsibility to find speaker as we don’t have anything yet.

Hugh and Heather: Giving suggestions on contacts.

Jack to take on task and use people to try contacts.

Miles: Trying to get more alumni to come

  1. Warm weather training

Everyone: Push people as much as possible, message everyone individually as more people the better.

Emma: Eric can’t come.

Sandy:Should be fine.

Matt: Advertise the change in flight dates, as some are cheaper.

Sandy: Stash and sponsorship, getting the stash payed for by sponsored hopefully. New balance etc.

Jack: Coaches that are coming?

Sandy and Becky: Dan Hooker, Carl, Lesley, Alex

  1. Publications officer as new committee position – committee restructuring

Matt: Floating the idea as social media is important and committee structure is outdated.

Everyone: Combine it with a general role as currently they can be added on without creating a new role.

Restructuring can be reviewed at the end of the year.

Isaac and Anna to remain in normal roles.

James porter to have twitter and Instagram control as he doesn’t mind not being on committee and is already writing match reports.

  1. Sponsorship update

Matt: Anna Niedbalanot hear.

Miles: Companies allocating budget so very important time to find sponsor.

Miles: New sponsorship documents made, will be put on dropbox, feel free to send to contacts

Heather: Hurdles???

Miles: New hurdle to be on sponsor, need to get iffley to buy hurdles.

Hugh: Branding the boards for promotion.

Heather: Hurdles are often rebranded for every meeting, also get the university involved.

Heather: Need to stop leaving hurdles out.

High: Trolley is broken.

Emma: Changing the training ones from competition ones.

Heather: Need to bother sportsfed.

Jack: Issues with lights and throwing in the dark and in the day.
