April Meeting Notes
The group did not have any changes.
- Review feedback from April Home Group meetings
Nursing Education and Faculty Resources Feedback: It is a work in progress, but we have come a long way with it. Impressed and hopefully it works out well when it is in place. Glad that we will be looking at RN program. The main components for best practices are going to be very similar. I am assuming that a hospital that wanted to upgrade their preceptor program- for recognition- they could direct their preceptors to go out and complete the modules and then create their own recognition for preceptors in their facility. We are looking at with the APRN and then the RNs. I think we could work with that. The facilities and the Education programs are going to be important. That is exactly what the program should be designed it for. Will be useful for schools to know that their preceptor had the same basic training. Looking for doing some fun interviews for those that are preceptors. No changes were suggested in the proposal.
Finance and SustainabilityGroup feedback: Thought this looked like a good program.
Workplace Planning Group Feedback: Is the intention of this to provide this to APRNs that are working with out of state programs? Patricia indicated that no- the plan is to link with those that are within ND.
Group discussion:
Barbara indicated that she was glad that we are just looking at working within the state- would become overwhelmed.
I agree with Barbara, we get so many requests from out of state programs.
Some of the challenges are if the program is not offered in the state.
Even though they may not be in ND, are they eligible too? Patricia indicated that the group will need to decide this. Some of the programs have students that are in Minnesota and are in the immediate area.
Maybe just start with the in-state and is being used and then expand to out of state and for those students in-state that would use out-of-state education programs.
This program you are looking at engaging preceptors is providing education opportunities. Maybe at this point, might disregard where the student is- if they are with any ND colleges and universities they would be included within the APRN programs.
They group liked that idea- if they are connected with a ND program.
Fargo-Moorhead has a lot of requests and they also have their own employees that are going to out-of-state programs.
If a student is attending a ND program- the preceptor would be included.
- Introductory Course Webinar
- Final Review of preceptor introductory course powerpoint slides.

Group Discussion:
A couple of things-, I had to wonder what SAGE meant- it is explained further inside- would be nice to have something on the cover page.
A couple of questions was regarding the ordering of the slides when I was trying to follow them as they correlated with the SAGE. Wondering about the order of some of them as well. There was a slide talking about professional practice in the S section and the rest of it is in the E section.
On the very first page- have a page before that has SAGE preceptor roles and the initials for each of the sections.
Like the SAGE concept and keep bringing it back and using that.
Would it help if we brought the concept closer to the beginning? Yes, that would be a good idea.
It is really good to think of it in those terms.
We have ordered and reordered these slides a number of times- some of the topics overlap- maybe we should contextually explain it better when a topic appears as it crosses the boundaries.
The other piece was the comments/notes that we couldn’t see in the view when we looked at it. The notes will help as we are moving through the slides. The Adobe Presenter format would be helpful.
I did like it- I had the same thoughts about the SAGE at the beginning- but it is a great concept.
Make sure they do their CEUs to the end of the slides, the last few slides are really important - move page 51 to the end.
On slide 53- there is an allusion to the collaborative issues that must be in place and do we direct them back to their school and their online manual.
- ND Center for Nursing has purchased Adobe Presenter- What do you think about this as an example for how the webinar might look like with video clips? Clickto see example
Can mute the voice, some people read faster than others.
It will be a nice format and platform to use.
Agree, we have talked about the need to have it different ways.
I agree, it provides different learner styles.
- Video-taping powerpoint slides. Who would like to volunteer or who do you think should be invited? It would be good to have representation across state/programs
Could arrange to have a different person for each of the parts of SAGE.
Chris Harsell- can audio tape from their office- can save the trip
Dean- has a video with former DNP students talking-they have had a really nice response to that. Good idea. He will think about helping to present part of the video.
Maybe get someone from University of Mary as well.
Becky/Patricia can look at list and split up power point slides and work with Kyle to coordinate video-taping- would try and coordinate with North Dakota Action Coalition videotaping that is scheduled for July
- Should we also include multiple preceptors talking about their experience?
Could include as clips on the powerpoint. Possible questions to ask during interviews-
- What is your favorite part of being a preceptor/or why precept students?
- What do feel is expected of a preceptor in the clinical setting?
- What is the most important thing/concept you can teach your student?
Who should we videotape for these? Stacey has a few lined up to videotape during the NDBON May meeting. Good to have good representation across state/programs.
Would be great to have a couple of preceptors- maybe 2 to talk about their experiences at the beginning.
The questions wouldn’t have to be long. The ones Stacey has would be good.
Like the idea of having some preceptors talking about it. When we do this- we will probably need to go back and video some RNs.
Nice to have the personal touch- especially at the beginning- really set the stage.
- See draft evaluation document for webinar
Preceptor Review Draft Evaluation Form
How is this going to be administered? Is it going to be online.
Would be good to have 1-5 options on questions 4 and 5. Easier for data analysis.
Are we looking at pilot testing the program and using the tool for that?
The evaluation is required as part of obtaining CE.
If we get information back, is there an intent to change the program etc.?
How are we going to use this information? Patricia indicated that yes, the group would be using this information to revise the program as needed and to also to help inform the RN program.
When I print it out- try to have it smaller and just on one page.
- Becky will finish drafting contact hour application for webinar.
- Determine needed additional course materials. Do we want to have a series of resources posted on a website? Do we want to suggest a book resource?
See the materials that Becky has put together at:
I like how the resources were embedded in the powerpoint-having a book resource or something would be good too.
Both would be great- certainly leave the ones in the webinar. Maybe having an additional resources list?
I agree with that- if someone is going to go back to school- there are some other options on things they could look at.
I agree that resources would be good to have linked on a page.
Just keep in mind that it would be a fluid page with items that will need to be updated.
- Start discussion of additional components of preceptor program- online clearinghouse, matching of preceptors to programs, networking opportunities, registration, out-of state programs? See documents from Becky’s searching on best practices.
Preceptor Programs Overview Document
There is quite a wide variety- everything from College/Universities that have a dedicated page for their university to sites that were very specific to information on how to dealing with particular problem students. Who range from very broad to very specific that has been used as the preceptor programs. The document developed by Becky includes the proposal to build the program based on a review of other available programs. This includes:
Development of a preceptor bureau (much like a speaker’s bureau) where preceptors could be listed with demographic info that includes location, specialty practice, place of employment, etc. This bureau would be housed at the Center’s website.
Along with this info this page could also be a landing page were the viewer could follow links to the different college’s page where the individual academic facility’s preceptor info is housed. The page could also list links from the different clinical facilities regarding learner/student requirements for participating in clinical at their facilities, contact persons, etc. The preceptor manual from each academic institution could be uploaded and available for preceptors to access. Materials for preceptors could be password protected if needed.
Criteria for inclusion in the preceptor’s bureau could be developed based on input from the group (see draft preceptor bureau application form).
Facebook also could be a venue through which you work. This is an example of a site mainly for students seeking someone to respond to a request for a preceptor. Another type of site is a closed member site such as this one.
LinkedIn also has something similar.
Mastering Precepting by Beth Ulrich 2012). to be given to each preceptor who successfully completes the program. This matches nicely with the data from the survey and the preference for educational material as a reward.
Group Discussion:
Do we want to start small and work out to bigger things. I think the preceptor bureau would be a good place to start. I like the idea that having the manuals from different colleges uploaded.
Do the colleges have their go-to people? There are go-to people, but I am not able to go to them- have to go through a coordinator at the facility. Often times we have preceptors that we have used before.
We have the same thing- we have to go through an education coordinator and oftentimes we have a similar list of preceptors.
So this program is to try to tap into some of those places that we are not aware of, it might open up additional preceptors that we were not aware of.
That would be great- I have been targeted rural sites which are not part of the big health care institutions. It has helped to expand our sites.
We have started telling students that they need to expect to go to rural and to expect to travel.
We really want to get them out to the rural sites. There is some great experiences in the rural sites. The med students have had some great experiences.
Agree with plan that is outlined by Becky.
Sounds good.
Preceptor Bureau Application-
Should have phone and email on the application for the organizational contact.
Could ask a flow chart type of question- does the organization require you contact a different department? Then they could list the department and contact information and this would also reinforce the need to go through the organization’s process.
Preceptor Program Word Cloud
Becky designed this using the words from the powerpoint. Part of the reason Becky created it was to send to the people that Stacey is interviewing to encourage them to use the same words that are in our program to reinforce ideas.
Group Discussion:
Very nice.
The word cloud is very nice.
We could also use this on our landing page for the program itself. The Center has several word clouds on different pages.
- Discuss possible incentives. Would we provide those participants that complete the course and have linked with a program with a free copy of the resource book? There would be CEUs at no cost? What other incentives would we use?
We should provide CEUs at no cost.
Once they have completed the course once they have signed on and precepted their first student- maybe they get the book then?
Preceptor is a national issue and Dean attended a number of sessions on this at the recent NONPF conference. The number one thing they were seeking was a thank you note from the faculty and then second was a thank you from the student. CEUs were within the top items. Dean will send information to the group.
UND we provide a thank you note and we have verified their CEU hours. We have gone back and forth on giving them library access for preceptors.
Being an adjunct faculty member is very desirable- however it depends on the university. At NDSU and UND it is kind of a pain.
The thank yous are interesting. I have heard many times from preceptors that I didn’t even get a thank you. Have also heard that they had a thank you card and a small box of chocolates.
Copy of the resource book? The book that Becky references in the powerpoint. We could give it to them after they complete the program
On our evidence based practice group- has been talking many times about how to get access to journal resources- the library access would be very helpful. It would help with a whole line of work on increasing the use of journal resources. If it is not too much of a hassle- that is a wonderful gift.
- Who would be able to participate? In state APRNS? What about out-of state participants if they are going to provide precepting to an in-state program? Have discussed charging a fee for out of state participants?
Talked about this earlier. Plan to include preceptors associated with ND education programs, regardless of location.
Will include a question regarding which education program they are looking at precepting for. When they fill out their application form- Patricia will send to the in-state program for confirmation before allowing access to the program. The website has a lot of traffic and we will need to weed out some.
- What happens when an APRN has completed preceptor course and has been added to the preceptor bureau (or other setup)- How do they get matched?
Health care organization: Are there processes in place at health care organizations to identify interested preceptors? Do we email health care facilities that their employee has completed the preceptor program and expressed an interest in serving as a preceptor? Do we make that part of applying to the program?
The hospitals would need to know about this.
With the information on the preceptor bureau- would include who to contact- for those that are with Sanford/Essentia- it would be the education coordinator at their facility.
On the application, have them indicate where they work and who their supervisor is.
Sometimes students try to work around the structure in an organization.
At the very end of the powerpoint, the preceptor powerpoint has information to direct preceptors- could make the message stronger- that they should not work around- even if the students are asking them.
Education program: Should we have a list of preceptor bureau available to programs on a public website, private website, sent out as a list? Other issues.
How do we let the programs know that this person has completed the course?
Preceptors have to be agreeable to having their name listed on the preceptor bureau website. The education programs would have access to this list.
The facilities and the schools should have access to the preceptor bureau through a private, password protected site. This is in order to make sure we aren’t alerting other nursing education programs about available preceptors within our state.
It sounds like the moment of connecting the preceptor to student is the most difficult step in all of this.
- Other questions/issues?
When should we schedule the next group meeting in August?Patricia will send out a meeting doodle to set up the meeting.
See workplan on next page.
