SOUTH ORANGE COUNTY COMMUNITY COLLEGE DISTRICT

SHORT-TERM, TEMPORARY, HOURLY, NON-BARGAINING UNIT (NBU) NEW HIRE ORIENTATION SCHEDULE AND INFORMATION

Your employment with the South Orange County Community College District is contingent upon:

(1)  attending an orientation with a District Human Resources Specialist,

(2)  successful completion of the Human Resources pre-employment process, which may include, but is not limited to: Live Scan fingerprinting, background checks, reference checks, TB testing, as well as completion of appropriate new hire paperwork, and

(3)  approval by the Vice Chancellor of Human Resources/Board of Trustees.

Failure to successfully complete any portion of the hiring process will nullify any conditional job offer received. NBU employees may not begin working until District Human Resources sends an e-mail authorization to their supervisor.

General information regarding NBU employment: (Please read carefully prior to attending a HR orientation.)

A.  Contingent/conditional job offer: It is the employee’s responsibility to incur the cost of any testing/fingerprinting required for the position, and there will be no reimbursement for this expense. If required for the position, Live Scan fingerprinting costs approximately $50.

B.  NBU at-will employment: After successful completion of the requirements of Section A, an individual may be employed by the South Orange County Community College District as a short-term, temporary NBU employee. Employment will be on an “if and as needed” basis, as determined by the District. NBU employment is at-will, and either party may terminate this working relationship at anytime.

C.  Single worksite restriction: NBU employees are limited to working in a single position in one department/site. (Exceptions: Interpreters and models).

D.  Work schedules: Department/Division managers, administrators, and/or supervisors shall determine the work schedule of NBU employees.

E.  160 day restriction: NBU employees will not work more than 160 days (in any combination of NBU positions) no matter how many hours per day they work. It is the employee’s responsibility to monitor and track the amount of days that they work to ensure they do not exceed the 160 day limit

F.  Substitutes: Substitutes may work for a permanent Classified employee who is on leave, or a vacant Classified permanent position. Substitutes in a vacant Classified position may work a maximum of 90 working days in the position during the recruitment process. NBU employees who substitute for Classified positions may not necessarily meet the minimum qualifications for the position and may, or may not, assume all of the job duties and responsibilities of the position.

G.  Payroll:

o  The payroll reporting period is from the 15th of the first month to the 14th of the next month. NBU employees are paid on the 10th of the following month.

EXAMPLE: Pay Period 01/15/17 through 02/14/17 will be paid on March 10th.

o  Rate of Pay: NBU employees must inquire with their supervisor as to the rate of pay that they will receive. They must have agreed to the rate, prior to accepting and beginning any current or future NBU assignment. Questions regarding rate of pay must be directed to their supervisor.

H.  Employment of Relatives/Conflict of Interest: The District does not prohibit the employment of relatives (or domestic partners as defined by Family Code, Section 297 et seq.) in the same department, or division/school, with the exception that they shall not be assigned to a regular position within the same department, division/school, or site that has an immediate family member who is in a position to recommend or influence personnel decisions. Immediate family means spouse, domestic partner as defined by Family Code, Section 297 et. seq., parents, grandparents, siblings, children, grandchildren, and in-laws, or any other individual living in the employee’s home.

I.  Student Help: Student Help employees must currently be enrolled in 12 or more units (Fall or Spring Semesters), and 6 units during the summer. Students are limited to working 20 hours per week.


NBU New Hire Orientation information:

New hire orientations take approximately 1 hour. You may attend an orientation at either campus. New hire packets may be picked up at the District office (Saddleback Health Science Bldg., 3rd floor) or IVC A112 prior to your orientation. If you choose this option, you must still attend a new hire orientation session, bringing all required documents as well as your completed packet. This option may shorten your orientation time, if the information is complete. Please contact Human Resources if you need special accommodations due to disability. All orientations are conducted in English. If you are not proficient at reading/writing/understanding English, please bring an interpreter with you to orientation. NBU employees may not begin working until District Human Resources sends an e-mail authorization to their supervisor.

You must bring the following items and/or information with you to orientation (you will be turned away from the orientation if you do not provide the requested documents):

1.  The department/division that is hiring you, and the person’s name that made you the contingent job offer.

2.  Social Security Card – We need to photocopy the actual card (per IRS regulations).

3.  Legal I.D./I.D.s as per guidelines for the USCIS I-9. (See http://www.uscis.gov/files/form/i-9.pdf for more information/details). All documentation must be unexpired. If you have a “restricted” Social Security Card, you must bring other acceptable proof of eligibility to work (i.e. Permanent Resident card)

4.  Your Alien # (if Permanent Resident) or your Work Authorization Card (I-765/766) (if applicable). (You will need to write in the information on the I-9 form.)

5.  F-1 students: Visa, I-94, I-20, letter authorizing employment from International Students, picture ID, and SS card.

6.  Voided check (if you would like to sign up for Direct Deposit of your paycheck.)

7.  Beneficiaries’ social security numbers and addresses.

8.  Any certifications required for your particular position.

9.  Emergency contact information: name, address, and telephone numbers.

10.  Hiring packet materials (if given to you prior to your appointment).

11.  Your printed application (if you applied online).

12.  Your employment history information (if you did not complete an online application).

13.  Parking: To park at either IVC or Saddleback, you will need a valid parking permit. You may wish to bring change to buy a one day permit for $5.00 from one of the permit dispenser machines. Allow sufficient time to find parking.

14.  Please do not bring children to orientations.

15.  Please do not attend orientation if you are ill.
