Mission Area Administrator for Pool Mission Area

We offer an exciting opportunity for a self-motivated, experienced administrator with excellent communication and IT skills to work with us. You will need to be confident, flexible and highly organised, confident with managing and administering accounts as well as being approachable and friendly.

Pool Mission Area is part of the Diocese of St Asaph and is made up of churches in and serving the areas around Welshpool, Belan, Castle Caereinion, Montgomery, Forden, Llandyssil, Pool Quay, Guilsfield, Buttington, Criggion, Llandysilio, Llandrinio, Penrhos, Berriew, Pantyffridd and Fron.

If successful, you would be working with the Mission Area Conference, a strategic group made up of representatives from these churches, and the Mission Area Leadership Group, responsible for the day to day business of the churches in our communities. These groups are made up of paid and volunteer members responsible for services, mission, pastoral care and much more.

Job description

Job title:Pool Mission Administrator

Reporting to:Mission Area Leader

Managed by:Mission Area Leader

Pastoral support will be provided

Job purpose

To support the Pool Mission Area in its development and growth. To provide effective and efficient administration and financial management that will allow the shared Ministry Team and Mission Area Conference to carry out their own duties effectively.

DUTIES AND RESPONSIBILITIES:

  1. Provide administrative support for the ongoing development of the Mission Area; the Mission Area Executive (MAE), Conference (MAC), Leader (MAL) and sub-groups as required, including taking minutes, invitations to meetings, room bookings, setting agendas with the Mission Area Leader, maintaining and updating the Action Plan etc.
  2. Act as Financial Administrator for the Mission Area Conference.

a)Manage the Mission Area Share including issuing invoices and monitoring payments.

b)Maintain the accounts, pay invoices, issue cheques etc.

c)Manage ministry team expenses payments.

d)Manage ‘parish buying’.

e)Provide financial reports to the MAC and MAE as required.

f)Support the MAC Treasurer and Finance Sub-Committee.

  1. Produce, maintain and publish a diary of events and activities throughout the Mission Area and act as a conduit for sharing information by means of Newsletters, Mailings, Websites, Social Media etc.and facilitatecoordinated working across the area.
  2. Provide administrative support for baptisms, weddings and funerals - dealing with paperwork etc and allocating work.
  3. Maintain rotas and diaries for the Mission Area.
  4. Provide administrative support to the Buildings and Finance sub-committees, including tasks such as organising regular testing for lightning conductors, fire extinguishers, PAT testing, Asbestos etc.
  5. Provide other project management, administrative and finance-related support to the Mission Area as requested by the Mission Area Leader.

Qualification and experience / English & Mathematics to GCSE C Grade or equivalent
Computer literate, proficient in the use of MS Office
Confident with the use of Social Media
Experience in working inan administrative role / Experience in creating and using Spreadsheets for a range of records and reports
Experience of the Church in Wales
Relevant Degree or Professional Qualification

Mission Area Administrator

Main Terms and Conditions

Hours of Work22 hours per week, including some evenings and occasional weekend work. Flexible working hourssubject to agreement between the post holder and Mission Area Leader. Monthly timesheet to be signed off by the Mission Area Leader.

Contract2 years (this may be extended if further funding is identified).

Salary£8.75 per hour.

Leave25 days per calendar year plus bank holidays (both pro rata). The holiday year runs 1 January to 31 December.

LocationTo be confirmed - in the Welshpool or surrounding area. There may be the option of some home working.

ProbationThis post will be subject to satisfactory completion of a probationary period of 6 months.

SafeguardingThis post will be subject to an enhanced DBS check.
