MINUTES FOR THE UEC MEETING, 8.27.14

Subject: University Events Committee meetings

Date: August 27, 2014

Location: Pine Room, Kansas Union

Attendees: There were 7 voting members present at the meeting. There were 0 student representative present at the meeting.

Summary:

The University Events Committee (“The Committee”) met on August 27, 2014 at 3:30pm in the Pine Room, Kansas Union to discuss various requests for event space on campus. The committee discussed event space categorized into three agendas. The agendas included the Consent agenda, the FYI agenda and the Regular agenda.

Agenda 1 – Consent agenda:

Ø  Her Campus KU- This group samples food on behalf of various for-profit food companies. Whitney and Jamie approved the food and space. From the Union’s perspective, they are going to wait and see how the event goes before making decisions regarding future events.

Ø  Hispanic American Leadership Org- This group brings a Mariachi band to campus. The Mariachi band has created noise concerns in the past; however, the band is not amplified; therefore, there should not be a noise issue because it is not in violation of institutional policy.

Ø  All Scholarship Hall Council- The items listed were discussed and approved.

Vote results:

Ø  The consent agenda items were unanimously approved 7-0 with no abstentions or opposition.

Agenda 2 – FYI agenda:

Ø  The FYI agenda items were approved prior to the UEC meeting today.

Agenda 3 – Regular Agenda:

Ø  Active Minds at KU- The committee voiced concern regarding having proper baskets to collect the candles at the conclusion of the event. In addition, the committee said that if the group wants to use KU items they need to get approval from licensing. Also, the group cannot use tables on the Campanile.

o  Vote results- The committee approved this event 7-0 with no abstentions or opposition.

Ø  Engineering Student Council- The committee express concern regarding the scavenger hunt. The committee wanted to know what the group is going to do for safety and ensuring that non-participants aren’t imposed upon. The group responded by saying that running on campus is not allowed and no KU apparel will be worn. In addition, volunteers will be present wearing unique apparel to make themselves easily identifiable. The group added that the event is held across campus, including Jaybowl, the recreation center, chancellor’s office, Watson library, Allen Field House and the Campanile. The committee instructed the group to add a list of locations to their documentation in the future.

o  Vote results- The committee approved this event 7-0 with no abstentions or opposition.

Ø  Hawks Helping Hawks – This group was not present at meeting; therefore they will be added to the agenda for the next UEC meeting.

Ø  Sigma Phi Epsilon – This group was not present at the meeting; therefore, they will be added to the agenda for the next UEC meeting

Ø  Student Health Services – According to the committee, Beakers can be parked on Wescoe Beach just like a table or tent. The committee asked if allowing this larger item will create a slippery slope paving the way for larger and larger items in the future. Examples of other large items allowed on Wescoe beach include the ball pit, trampolines and exercise bikes. Examples of large items not allowed on Wescoe Beach include large rowing boats, which have been moved to Stauffer. The committee may decide to move them in the future. The committee recommended going through this semester with no major changes until spring semester.

Ø  The committee voted on the four Student Health Services Events together and approved all four events 7-0 with no abstentions or opposition.
