Greetings, High School Teachers!

We are busy making preparations for your club’s arrival to campus for the High School Challenge. I’m excited to be a part of creating experiences that are fun, engaging and educational for your students.

Within this packet you will find information on the details for the event. Before your club comes to campus, you’ll need to make a number of arrangements to ensure that your students will have a successful and positive time during the overnight event. Don’t hesitate to contact the SMILE office if you have any questions about the information provided.

This packet contains:

Please complete the registration forms ASAP. The registration deadline is
Friday, April 7!

Registration prior to event:

1)  Attached are two registration forms – one for students and one for adults (including your bus driver). The student registration form shows the names on your final roster as determined at the Winter Teacher Workshop. This is the official membership list and only students on this roster may be registered for the Challenge.

2)  On the student registration form – Using the drop down menus, state whether each student will attend, their gender and insert any food/health concerns we should be aware of.

3)  On the adult registration form – list any additional adults beyond teachers listed (including chaperones, parents, etc.). Using the drop down menus, state their gender and insert any food/health concerns we should be aware of and cell phone contact numbers. To ensure adequate supervision in the sleeping bays, it is necessary that there be at least one male and one female among the adults (SMILE teachers and chaperones).

4)  Please indicate your travel arrangements, whether or not your bus driver will stay with your group in the OMA and, if so, the driver’s gender, in the spaces provided.

5)  Email the two completed registration forms back to no later than Friday, April 7.

6)  When you attend the Challenge, you should bring copies of your signed school field trip waiver or the OSU Acknowledgement of Risk and Waiver of Liability with emergency contacts for each student in case of emergencies during your trip.

Transportation, Parking, and Permits:

Plan to arrive between 1:30 p.m. and 3 p.m. on Thursday, April 27 at the OMA. Please instruct the van or bus driver to bring you to the designated OMA entrance so that your club can unload luggage. We will greet your bus, give a short introduction to staying at the OMA, and then give you your sleeping bay numbers and maps. For those bus drivers who will remain with their groups, make sure we have their sleeping arrangement and give them a key if needed. The buses and vans can be parked in the OMA parking lot across the street.

Please make sure you park in the OMA parking lot. Western Oregon University parking lots require a parking permit.

Luggage:

Only very basic overnight supplies will be needed. Students and adults need to bring bedding, towels and other toiletries. We DISCOURAGE STUDENTS from bringing any extra items that would be distractions during the event—cell phones, tablets, ipods, and other electronic devices. If you decide to allow your students to use these items during the trip to and from the Challenge event, please collect them before the students unload from the bus or van. After the conclusion of the Challenge, you may redistribute these items for the ride home.

Accommodations:

You will stay with your students in the OMA dorm rooms. Two bays, (one for males, one for females) will be assigned to each group and the accompanying adults must stay in these rooms with their students. Each school will be assigned enough space for all students, teachers and chaperones and you may be sharing space with another club.

Please note the OMA and bay procedures. All persons will need to observe quiet hours after the designated curfew.

Whether the students are engaging in the challenge, participating in recreational activities, settling in for the night or getting started the following morning, you and your chaperones share the responsibility of monitoring and ensuring the proper behavior of those in your group.

Arrival:

Upon arriving, you will check in and get your room assignments. Only the adults will get the code for the front door. Take your students to the bays, drop off your luggage and head to the Werner University Center Pacific Room by 3:30 p.m. so your club can be checked in.

Overnight at the OMA:

All persons staying overnight at the OMA will return there by 10:15 pm. The students need to be settled and quiet by the 11 p.m. curfew.

OMA Check-out on Friday:

On Friday morning, after their morning clean-up and packing, the students will stay in their bays until they are escorted to breakfast by you or one of the chaperones. After ensuring the bays are clean and everyone is packed, please have your group load their luggage into the van/bus at 7 a.m. before going to breakfast. After breakfast, by 8 a.m., report back to the Werner University Center Pacific Room.

At 10:30 a.m you will board the buses to depart from the OMA and drop off students in front of the Memorial Union at 2501 SW Jefferson Way, Corvallis, OR.

Buses may park on campus without a permit — bus parking spaces are along 26th Street outside of Reser Stadium.

Please let me know if you are driving a van or car. All vehicles, besides buses, require an OSU parking permit. Please let me know if you require an OSU parking permit and I will provide it closer to the date of the event.

Lunch on Friday:

Lunch will be a pizza buffet at the various locations on campus. Be sure to indicate on your registration form any dietary restrictions for those in your group.

Friday Activities:

Presenters often request that other adults be present to provide supervision and support. SMILE teachers and chaperones will assist the activity leaders in working with the groups.

The SMILE awards will conclude around 4:30 p.m. and you should be able to get on the road at that time.

Preparing for the Challenge in your club:

Students will be playing an expanded version of ExoPlanet 1061 that was given out during the Winter Teacher Workshop. By playing the game in your club before the challenge, students will be more familiar with the rules and it will help them complete the challenge.

All of our challenge students will be working in mixed teams. To prepare for this, have students work in teams of 6-8 and encourage teamwork, collaboration between teams, and having fun!
