MEGT Position Description RMS/ Administration Officer

MEGT’s Recruitment and Management Services (RMS):

Objectives of the Position:

This is a key role within the Recruitment and Management Services Division. Prompt and accurate payment of the apprentices and trainees and other candidates employed by the Recruitment and Management Services Division is essential to the operation of the division. The primary focus of the role is to assist the National Payroll Manager and to ensure that the payment of the apprentices, trainees and other candidates employed by the RMS Division in accordance with the relevant employment conditions whether awards, EBA or other legislative requirements is accurate and on time. In addition, the role requires that all other employment benefits and requirements including superannuation and any other employment benefits are paid in accordance with legislative requirements.

Relationships:

This role reports directly to the National Payroll Manager.

Working closely with internal staff members nationally, including the Finance Division and external clients e.g. host employers, apprentices and trainees.

Duties and Responsibilities:

  • handle basic operational issues with trainees and refer to appropriate RMS staff as necessary
  • handle all telephone enquires
  • maintain the Group Training Database and enter appraisals
  • work with Payroll staff in Melbourne regarding time sheets, absenteeism and other issues as they arise
  • prepare the weekly report in conjunction with RMS staff
  • manage the Stationery Order
  • organise for Hearing Tests, medicals and Police checks where necessary for new trainees and apprentices
  • liaise with State Training Authorities.
  • prepare letters and reports as required
  • manage Host Employer and Trainee files
  • organise Concession cards for trainees & apprentices
  • organise trainee interviews and conduct reference checks
  • assist the manager with the management of invoices and aged debtors
  • assist staff with the organization of Graduations
  • monitor PPE provision for each trainee and apprentice
  • liaise with RTO’s for enrolment of trainees and apprentices and to receive regular progress reports
  • assist RMS staff with marketing campaigns
  • provide a central point of contact for all RMS activities
  • other duties as required.

Health, Safety and Environment (HSE) Responsibilities:

All staff are required to take reasonable care for their own health and safety and that of other personnel who may be affected by their conduct.

All Managers and Supervisors will require further statements re their responsibilities for direct reports.

Police Check:
This position is required to undertake aNational Police Check and any State/Territory Working with Children Check (where applicable). The National Police Check must be renewed every 2 years from the date of the initial check as a minimum.
