Please arrive no later than 7.30pm to set up the mugs and teaspoons and arrange them on the refreshments table in the hall, no cloth is necessary for the table (an instruction leaflet is inside the cupboard door).

All provisions will be provided including biscuits or cakes which should be placed on the commemorative silver salver which is kept in a white draw-string bag in the cupboard. (Please replace it in the bag after use as this avoids scratches and keeps the silver clean longer).These should be placed on the entrance table when tea/coffee is served to encourage members to move away from the refreshment table and to move around the hall.

The urn will be switched on and should not be switched off before the meeting starts, It is thermostatically controlled so there is no danger of it boiling over. Teapots need 6/8 teabags.

In order to ease the movement around the hall, tea is served from one side of the table and coffee the other, both mugs and cups are available. Please only put the coffee in the mugs/cups when refreshments are served, some like it strong, some like it weak and some like decaffeinated.

A greater proportion of members now choose tea so perhaps only one member should be serving coffee.

When all members who require refreshments have been served, washing up can begin and all equipment packed up and put back in the cupboard.

The Refreshments Organiser will be supervising so please ask her if you have any problems. Also if the date on the list does not suit you please arrange to swap with another member and let her know so that she can remind the correct members before the meeting. If you have to cancel at short notice please also advise her so that a replacement can be found

Serving refreshments is a vital part of the meeting, it is carried out by the members for the members who we know appreciate it and no member is expected to do it more than once ayear.
