Chapter 1: Coder Worklist Routine

1.1: Sort List Screen

This screen appears after you select the Sort Function from the Coder Worklist

Routine.

Use this screen to enter the primary and secondary data fields as the criteria

by which you want to sort the worklist.

This screen appears after you select the Status Function in the Coder Worklist

Routine.

Use this screen to enter a new coding status for the account.

This screen appears after you select the Scan User Message Function in the

Coder Worklist Routine.

Use this screen to enter messages for the scan user and view existing messages.

This screen displays the following patient data:

* Name

* Class

* Unit number

* Account number

* Discharge/service date

The screen displays any existing messages, including the following message

data:

* Message number

* User name

* Date/time of the message.

1.4: Admin Router Message Screen

This screen appears after you select the Admin Router Message Function in the

Coder Worklist Routine.

Use this screen to enter messages for the routing administrator and view

existing messages. For example, you can request a specific action.

This screen displays the following patient data:

* Name

* Class

* Unit number

* Account number

* Discharge/service date

The screen displays any existing messages, including the following message

data:

* Message number

* User name

* Date/time of the message.

The message you enter appears on the Administrator Router Worklist.

For accounts at a coding status of ASSIGNED, the status changes to PENDING

after you file the message.

This screen appears after you select the Physician Query Form Function from the

Coder Worklist Routine and then select the Enter Physician Query Form option

from the drop-down menu that appears.

Use this screen to enter a physician query form for a selected patient.

This screen appears after you select the Physician Query Form Function from the

Coder Worklist Routine and then select the Cancel Physician Query Form option

from the drop-down menu that appears.

Use this screen to cancel a physician query form for a selected patient.

View Messages, Comments, and PQFs Screen (1.8) Page 8

1.8: View Messages, Comments, and PQFs Screen

This screen appears after you select the View Messages Function.

Use this screen to view

* All messages between the coder and both the routing administrator and scan

user.

* Any messages regarding query forms.

* Any comments entered by the routing administrator and scan user.

* Any comments entered on patient folders in the Scan Form or Assign Form ID

Routines.

Note: You can view comments entered on multi-patient folders in the Assign Form

ID Routine.

The system sequentially numbers each comment or message type and the most

recent comment or message appears at the top of each field. You can scroll

within each field to view all associated text. To navigate among the message

types and comments, use the <Tab> and <Shift> + <Tab> keys.

The following information prefaces each message or comment:

* A message or comment number

* The user name

* A date/time stamp

The number of unanswered messages pending for the routing administrator appears

in the New Messages field at the bottom of the screen under the worklist

section.

Chapter 2: Scan User Message Worklist

Use this routine to assign scan users to patient accounts. You can process

patient accounts, respond to messages from coders, and enter comments.

Only accounts for which a scan user message was created by the coder appears on

this worklist. The worklist screen displays patient account information and

associated messages.

As a scan user, you can use this routine to assign and unassign yourself to

patient accounts. A blank field in the Scan User field denotes an unassigned

account. Multiple scan users can access the worklist simultaneously.

Using the Scan User Worklist

From the function buttons at the top of the screen, select the functions you

want to perform.

Print a worklist of the account information and Print

To assign or unassign an account to yourself, you can do any of the following:

* Click the account

* Press the Right <Ctrl> key.

* Press <Enter>

After you assign an account to yourself, a check mark appears next to your name

and your user name from the User Profile Dictionary appears in the account

list. If you select an already assigned account, a message warns you that this

action overrides an existing account assignment.

At the bottom of the screen under the worklist section, the system displays

the number of new messages added to the worklist but not yet checked by a scan

user.

Sort Function

Use this function to change the sequence of accounts displayed on the worklist,

based on the predefined criteria you select.

After you select this function, the Sort List screen appears and you can enter

the data fields by which you want to sort the worklist. After you file this

screen, the worklist displays the sequence of accounts based on the data fields

you enter.

When you first sign onto the system, the system defaults to the previous sort.

You can select from the following sort options.

* Pt name (A -> Z)

* Pt class (A -> Z)

* Discharge/svc date (descending order)

* Coding status (UNASSIGNED, ASSIGNED, PENDING, HOLD, or COMPLETE)

* Coding priority (1, 2)

* Length of service (descending order)

* Available date (descending order)

View Messages Function

Use this function to view all messages, comments, and physician query forms for

a selected account.

After you select this function, the View Messages, Comments, and PQFs Screen

appears.

Respond to Message Function

Use this function to respond to messages associated with a selected account and

to view existing messages from coders.

After you select this function, the Respond to Scan User Message screen

appears. Messages from coders appear in sequential order (with the newest

message first) in the View Existing Messages field at the top of the screen.

After you enter and file a message, the system sends the response to the Coder

Worklist. The message number, user name, date, and time appear at the end of

the message.

Use this function to enter comments you want to associate with the account.

After you select this function, the Enter Comments screen appears and you can

enter your comments on that screen.

Print Function

Use this function to print a worklist of account information and messages

requesting action.

After you select this function, the Print Screen appears.

The report you print includes the following information:

* Unit number

* Account number

* Patient name

* Discharge/service date

* Chart location (of checked-out portions of the medical record)

* Message

The report header contains the scan user name and the run date and time.

You can sort by unit number or terminal digit order.

This screen appears after you select the View Messages Function.

Use this screen to view

* All messages between the coder and both the routing administrator and scan

user.

* Any messages regarding query forms.

* Any comments entered by the routing administrator and scan user.

* Any comments entered on patient folders in the Scan Form or Assign Form ID

Routines.

2.4: Enter Comments Screen

This screen appears after you select the Enter Comments Function from the Scan

User Worklist Routine.

The following patient identification information appears at the top of the

screen:

* Name

* Patient Class

* Discharge or service date

* Unit number

* Account number

Use this screen to enter a free text comment. At the end of each comment, the

following information appears.

* Comment number (assigned sequentially by the system)

* User name

* Date and time of the entry

This screen appears after you select the Print Function from the Scan User

Worklist Routine.

Use this screen to print worklist account information and messages.

Chapter 3: Admin Router Worklist

As a routing administrator, you can use this routine to assign and unassign

patient accounts to coders. You can process patient accounts, respond to

messages from coders, and enter comments.

Accounts appear on the list based on the Populate Coding Worklist by parameter

in the MRM Enter/Edit System Parameters.

Using the Admin Router Worklist

From the function buttons at the top of the screen, select the functions you

want to perform.

Note: Multiple routing administrators can access this routine simultaneously.

However, after you select an account for an enter/edit function, the system

locks the account and displays an account lock message to any other routing

administrators who try to access the account at the same time. To proceed, you

can override the lock.

All accounts at a status of COMPLETED appear at the bottom of the worklist

* Manually change the coding status of an account

* Identify the coder you want to assign to this account.

After you select this function, the Status screen appears.

Assigning and Unassigning Accounts

To assign or unassign an account, click the account and select this function.

Routing administrators can use this function to assign or unassign coding

assignments to remote coders.

After you assign a status of ASSIGN to an account, you can identify the coder

you want to assign to the account.

After you assign a coder to the account, the system designates a priority of 1

to the account. To override this priority, use the Edit Priority Function.

Note: Only routing administrators can reassign accounts to other coders.

Edit Priority Function

Enter a priority of 1 or 2.

After the routing administrator manually assigns a coder to an account, the

system automatically assigns the account a priority of 1. The account then

appears at the top of the queue on the Coder Worklist.

The system automatically assigns all other accounts a priority of 2 and queues

these accounts on the Coder Worklist immediately following any accounts

assigned by a routing administrator.

Use this function to edit the priority associated with an account.

Sort Function

Use this function to change the sequence of accounts displayed on the worklist,

based on predefined sort criteria (that is, data fields) you select.

After you select this function, the Sort List screen appears and you can enter

the data fields you want the system to use to sort the worklist. After you file

this screen, the worklist displays the sequence of accounts based on your

entries. When you first sign onto the system, the system defaults to the

previous sort.

You can select from the following sort criteria:
