1. JOB PURPOSE AND MAIN AIMS

To provide a proactive Recruitment and Training Administration service in line with Circadian Trust’s policies and procedures. To provide administration support to the Human Resources department in line with departmental requirements.

2. SPECIFIC DUTIES AND RESPONSIBILITIES

a)Drafting and placing advertisements, shortlisting, obtaining references, making the appropriate arrangements for interviewing applicants in liaison with the recruiting centre and attend interviews to give advice as required. To ensure that the recruitment process is conducted in accordance with legislative requirements and Circadian Trust policies and procedures and to assist managers in the completion of recruitment and selection documentation.

b)Preparation and issue of appointment documentation and contracts of employment for all employees including informing Payroll, liaison with Occupational Health.

c)Advising line managers and employees on the recruitment and training policies and procedures.

d)Management of the HR Inbox ensuring all correspondence is dealt with accurately and within specified timeframes.

e)Booking of rooms and all required catering and equipment needed.

f)Responsibility for all purchasing via the Proactis system.

g)Processing of documentation to Payroll regarding changes to staff conditions of service, salaries/wages, and starters/leavers.

h)To provide administration support for maternity, adoption and paternity leave.

i)Maintaining appropriate records and databases including inputting and updating records on HRS (Human Resources System), HRS audits and personal file audits.

j)Producing regular reports as outlined in the HR reporting plan.

k)Logging sickness absence as reported and making appropriate bookings for home visits or Occupational Health as directed.

l)To act as note taker for meetings as required, ensuring comprehensive documentation is produced, filed and disseminated in line with Circadian Trust timeframes.

m)To provide administrative support across the team as required.

n)Assist the Head of Human Resources and Human resources Assistant where required.

o)Participate in HR projects as required.

p)To ensure confidentiality is maintained at all times.

And any other duties commensurate with the grade and falling within the scope of the post, as requested by Management. Duties may change over time and you will be expected to co-operate where such changes are reasonable.

3. SKILLS, KNOWLEDGE & EXPERIENCE (SELECTION CRITERIA)

Essential Criteria

a)Experience of medium volume recruitment.

b)Significant experience of working in a HR Department or other related work.

c)3 GCSE’s (or equivalent) at Grade C or above including Maths and English.

d)Experience of drafting letters and memoranda.

e)The ability to communicate clearly and logically both orally and in writing.

f)Significant experience of using computer systems in particular Word and Excel.

g)Good numeracy skills.

h)Ability to organise and prioritise.

i)Ability to be flexible and cope with balancing priorities

j)An ability to work in a confidential environment.

Desirable Criteria

a)An Assoc member of the CIPD or working towards Assoc MCIPD.

b)Experience of a computerised HR record system.
