Job Title: Programme Co-ordinator for the “University Consortium”

Job Summary

The Programme Co-ordinatoris responsible for the administration and delivery of the research activities of the University Consortium (UC). He or she will work with the UC Principal Investigator to ensure that the UC fulfils its goals, objectives and activities, adheres to its budget, and generates a successful programme that fosters high-level academic exchange and engagement between Russia and the West. He or she will have the opportunity to contribute directly to the substantive work of the University Consortium itself.

He or she will work closely with the UC’s members (composed of advanced graduate students and lecturers at Oxford, Columbia, Harvard, Freie, MGIMO and HSE, and specialists at associated think-tanks) toward the goal of generating successful Modules and conferences and creating an enduring UC network. He or she will also work with associated think-tanks on both the substance and administration of conferences/events, and will enjoy the added benefits of being invited to travel to the UC’s annual conferences (New York and Moscow). He or she will also manage the UC website and its blog, update content and, when appropriate, contribute to blog posts.

The Programme Coordinator will have an office and computer in the Russian and Eurasian Studies Centre (RESC), a busy and friendly working environment, and will be a part of both the Centre and the College communities. He or she will be expected to liaise as necessary with the RESC Director and Administrator, and other Centre and College staff and Fellows, but will work exclusively on the University Consortium Programme under the direction of the UC Principal Investigator.

Main Duties and Responsibilities

•Coordinating, managing and undertaking all the administrative tasks supporting the University Consortium;

•Serving as the conduit between all six UC universities and liaising regularly with each UC member-university;

•Making venue, travel, catering, and other administrative arrangements in connection with Modules, Annual Conferences and any other UC events/conferences,

•Preparing and up-loading information for the UC webpage and blog and keeping them up-to-date

•Handlingexpenses claims, invoicesand charges to College funds;

Monitoringexpenditure of UC funds, ensuring that activities are run within budgets and alerting the UC Director to any potential overspends;

Preparing interim reports on activities and expenditure for the funding body, in conjunction with the UC Director and College Accountant;

Liaising with web developers on the UC webpages and functionality;

Creating and distributing publicity materials and research outputsby email, hard copy and websites;

Dealing with all mail, email and telephone enquiries about the UC; notifying UC members with emails after UC Modules and events of any new publication or posting.

Any other tasks required by the UCPrincipal Investigatoror Director of the Russian and Eurasian Studies Centre necessary to the role.

Person Specification

Essential

  1. Master’s Degree or higher in a social sciences discipline, relevant to the work of the Programme
  2. Experience and understanding of data analysis and social research tools
  3. Ability to be well-organised and self-motivated and to manage and prioritise own workload
  4. Excellent communication and interpersonal skills and ability to liaise with a wide variety of people within and outside the College and in other countries
  5. Able to understand and accept instruction
  6. Flexibility and tact
  7. Excellent IT and skills including Microsoft Office packages (Word, Excel, Outlook, Access)
  8. Excellent skills in FaceBook, Twitter and updating UC webpage/blog content.
  9. Self-starter. Ability to be pro-active in implementing procedures and organising events
  10. Good command of oral and written English
  11. Good level of numeracy
  12. Knowledge of and interest in Russian affairs and international affairs

Desirable

  1. Experience of web editing and management
  2. Experience of administering web and telephone based conference facilities
  3. Russian language ability
