  • Retention Pond Issue:
  • Received two additional quotes. However, most contractors declined to do the work.
  • The Board recommends looking for a yearly contract for future maintenance of the retention pond to avoid future large expenditures
  • Opening of bids:
  • Crain Tree Removal:$350—Tree removal only (Bridge and Road/no retention pond)
  • Ledfords: $4,400
  • Arbor Valley: $5,850—Breakdown $1,500 trees in front of retention pond, $1,450 Trees on Ivy Lane, and $2800 retention pond.
  • Tree Guys: $9,600. Breakdown: $3,800 Retention Pond, $3000 Ivy Lane, and $2800 trees in front of Retention Pond.

  • Comments:
  • Residents volunteered to perform work to save cost to HOA.
  • Board Comments: Rejected the use of neighborhood volunteers on such a large project and stated its position that it is best on such projects to hire a contractor to perform the work. Will likely take volunteers on smaller projects.

  • In the process of obtaining sign sleeves to protect signs from damage

  • Discuss the possibility of purchasing bonds. Concern over tax implications to the HOA as a nonprofit entity. Additional concern of the liquidity of the funds used to purchase bonds in case of emergency.
  • Cars Parked Near Intersection
  • Reported that cars parking near intersections as decreased since last meeting.
  • Dues:
  • Dues notices were mailed out on time.
  • Holiday Decoration Contest:
  • First Place: $50
  • Second and Third Place: $25 each
  • Communications Director will create a online poll for tallying votes.

  • Phase II Entrance
  • Board interested in ideas on how to beautify the connection between Phase I and Phase II. Ideas include:
  • Building side walk on one side of Phase II to the bridge
  • Low maintenance plants/trees/shrubs
  • Additional landscaping
  • Suggestions:
  • Mark Hines requested blueberry bush
  • Phil Downey suggested including a black fence to mirror the front entrance
  • Board considering the possibility of adding sprinklers
  • Will consider the use of a Tap or a pump
  • Goal is to have project started and completed by Spring 2014.
