Cedefop invites applications for the drawing up of a reserve list for the position of secretary in the Human Resources Department:

The european centre for the development of vocational training (Cedefop) is an Agency of the European Union. It supports the European institutions, the governments of Member States and the social partners – employers’ representatives and unions – in the development of initial and continuing vocational training. Cedefop has approximately 130 staff and is based in Thessaloniki, northern Greece. For more information on the Agency, see .

The Human Resources Service is responsible for all recruitment and personnel management issues.

Responsibilities and tasks

  • General office management and secretarial tasks (typing and formatting of documents; organisation of meetings, missions and visits);
  • Documents and files management;
  • Personnel administration (administrative support to the Head of Human Resources in relation to the management of individual rights; maintaining staff dossiers; management of absences and leave rights;maintaining frequent contacts with the European Commission (DG ADMIN) at equivalent level on administrative issues);
  • Support to the organisation of recruitment.

Formal requirements

To be considered eligible, applicants must:

  • Be a citizen of one of the member states of the European Unionmember states;
  • Have a thorough knowledge of one of the languages of the Communities and satisfactory knowledge of another language of the Communities;
  • Have a level of post - secondary education attested by a diploma or

a level of secondary education attested by a diploma which gives access to post secondary education and professional experience of at least 3 years;

  • Enjoy full rights as a citizen;
  • Have fulfilled any obligations imposed by the laws on military service.

Prospective applicants will be assessed against the following criteria

  • 3 years of secretarial experience, in addition to the above;
  • Excellent written and oral English and/or French ;
  • Excellent knowledge of and ability to use MS Office (including a very good knowledge of Excel), graphic software (e.g. Powerpoint, etc.) and the Internet;
  • Good interpersonal skills and exercise discretion and tact;
  • Ability to organise one’s workplace autonomously within a complex and demanding environment;
  • Ability to work both independently and as part of a team;
  • Ability to work under time pressure;
  • Dynamic and creative personality.

The following characteristics will be considered as additional assets

  • Prior experience as a secretary in an international or European context;
  • Prior experience in a Human Resources Department;
  • Knowledge of a third language (preferably German or Greek).

reserve list

A reserve list will be drawn up by Cedefop. The list will be used as a reserve for recruitment, should vacancies arise. Applicants should note that the inclusion to the reserve list does not guarantee recruitment.

The established reserve list may be used for recruitment on a similar post depending on the needs of Cedefop and on budget availability.

The reserve list will be valid until the 31st of December, 2007 and may be extended.

Contractual conditions

The initial contract is for two years with the possibility for renewal.

The terms of employment are those described in the Staff Regulations of the European Communities and in the Conditions of Employment of Other Servants of the European Communities (cf. articles 8 to 50a referring to temporary staff)..

The grade for this position is: AST2 (new grading as from 1 May 2006). The basic monthly salary of a temporary agent in the first step at AST2 level, before any deductions or allowances, is approximately EUR 2,700.

Recruitment will take place under the condition that corresponding budget appropriations and a vacant post are available.

The place of employment is Thessaloniki where Cedefop has its official seat.
