Information Services Specialist

Definition

Under minimal direction and supervision, performs independent work with various technical systems dealing with student and staff data for the purpose of assisting staff and departments in the use of software and data systems in order to:

  • Improve instructional delivery and student learning.
  • Work with district data systems of student information and assessment for improved classroom instruction and student learning.
  • Work with district data systems to assist in the efficient use of technology for district business.

Reports to: Instructional Technology Coordinator

Distinguishing Characteristics

An employee in this classification is under the direct supervision of the Instructional Technology Coordinator. This position requires the organizational skills to meet daily, weekly and monthlyresponsibilities as well as help set and meet deadlines for longer-term projects. He or she must be able to communicate professionally and effectively with staff at all levels as well as members of the public. This employee is expected to maintain collegial relationships to facilitate effective problem solving, scheduling and training.

Experience

  • Substantial experience in data manipulation and conversion, withcomplex standalone data systems and web-based data systems. Data system creation skills are helpful.
  • Extensive computer experience including customizing and programming software for specific tasks.
  • Prior job related experience in the use and management of data systems with increasing levels of responsibility, preferably in a school setting.
  • Programming skills in Visual Basic or other high-level programming languagesare helpful.

Education

  • Associate Degree (or equivalent) in computer information systems preferred.
  • High school diploma or equivalent.

Licenses, Certifications and Other Requirements

Maintain a valid Oregon driver’s license and have own transportation.

Submit copies of any technical certifications with application, or as obtained during employment.

Qualifications

Knowledge of:

  • Data system software and application software that can be used for the development of user-friendly applications for student assessment and performance as well as school business applications.
  • Extensive knowledge of data base technology as a system and how it can enhance the reporting processes required by state and federal rules.
  • State and federal laws and regulations regarding various ODE collections as well as district policies and practices.
  • Business English, spelling, punctuation and arithmetic.
  • Current office practices, procedures, communication and equipment.
  • Rules, regulations, procedures, functions and policies of the district.

Ability to:

  • Utilize and manipulate data systems with a variety of applications.
  • Communicate effectively and solve problems in an efficient and positive manner, both independently and as part of a team.
  • Utilize computer-based word processing, spreadsheet and data system software withspeed and accuracy.
  • Create and maintain data systems and write appropriate code in ACCESS or other applicable software.
  • Export data from student and staff data systems into other software applications.
  • Make independent decisions while considering the local and system-wide impact of those decisions.
  • Communicate effectively with students, teachers, colleagues, community agents and employers in oral and written form.
  • Work independently and be self-directed.

Examples Of Duties

Maintain all state and district assessment data.

Assist with and provide technical support for the coordination and maintenance of the district’s use of a student information system.

Conduct weekly exports of essential data where appropriate to support other district-wide applications.

Do weekly updates of students, staff, schedules, and assessment data where appropriate.

  • Maintain district wide user accounts, usage, support, and technical guidance for various student data programs.
  • Provide training to groups and individuals to support end user needs.

Provide technical support for district, state and federal reporting from district collections.

Responsible for specific collections related to assessment, AYP, and state report cards.

Manage SSID file weekly for all students in district.

Create and insure accuracy of student staging and all assessment data.

Provide technical support for all online state assessments.

Insure the ability to create, print, and deliver all reports related to state and district assessments.

Maintain, with technical staff, multiple existing district data systems that support staff and student learning.

Submit required ODE reports within state parameters.

Create reports and forms using data systems, spreadsheets, or other software applications as needed by district personnel.

  • Coordinate information between state, Douglas ESD and district data systems, as needed.

Plan with secondary administrators to coordinate and schedule the data processing functions of students (i.e. grades, attendance, report cards and transcripts), including reviewing old and adding new programs.)

Provide assessment tools and graphs for the district. Warehouse and retrieve data from current and/or past testing seasons for all schools as requested by the principals and Director of Teaching and Learning.

  • Create new and innovative data reports for analysis.
  • Fulfills other related duties as assigned.

While performing the duties of the position, the employee works with standard office and/or instructional equipment with moving mechanical parts.
