Position Codes

Relevant Training/Discussion Highlights: /
  • Position Codes will become 6 characters. We need to decide what those 6 characters will be. Will they be all numerical or will there be alpha characters as well? What will be the significance of the characters?
  • There was a discussion on the merits of using all numbers which would allow for a greater number of combinations, or using symbolic alphanumeric characters which could provide greater distinction for HR purposes but have more limitations.
  • It was agreed that with Cameron’s relatively small number of employees that we would probably never reach the limits (531,441) of using 6 numerical characters but we could greatlybenefit from using a combination of alpha and numeric characters to signify several pieces of information about an employee from their position code.

GAPs Identified: / Account numbers will be completely changing in Banner in addition to becoming 6 digits. We will need to find a similar number to use for the middle four numbers. Ken is working on research for this. Currently it looks like we can use the first four digits of the new account numbers but we may not have as much specificity as we would have with the Insight account numbers. For example, 1306 will designate Adult and Continuing Education but will not specify which department, ie Distance Learning.
What account number do we use to designate employees who are paid from more than one account for the same job?
Decisions Made: / We will use the position code to tell us the type of employee and the dept. they work for as well as an assigned positionletter or number based on a hierarchy within their department.
The first character will be Alpha and will correspond to the employee type. We identified the following types and we would like the capability to add additional types in the future as necessitated:
  • A = Administrative
  • B = Coaches (derived from Ball Coach and they usually have a
B position as well)
  • C = Classified
  • D = Adjunct
  • F = Faculty
  • H = Hourly
  • L = Library Faculty
  • M = Military Science Donated Services
  • P = Post-Retirement Employment
  • R = Retiree
  • T = Temporary Faculty
  • W = Workstudy
The next four characters will refer to the GL Key/Acccount #
The 6th character will be a letter from A-Z (or 0-9 if a department has more than 26 employees of the same type). This character can be used to designate a hierarchy relationship with A being the highest.
We will use only Alpha characters on individuals paid from multiple accounts. We will still use the first character to identify the employee type but then the next four characters will be SPLT or MULT to signify multiple accounts/split paylines.
Decisions Required: / What characters will be used to designate employees who have split paylines?
What numbers will be used as the four middle characters in the position code now that account numbers are changing?
