How to Create T4s in Acclaim

  1. Select Forms>T4>Create T4 records.

  1. Select EI group. If you have multiple EI groups, you have to create T4s separately for each of those EI groups

  1. Click Ok.

Your T4s have been created.

Go to Forms>T4>Edit T4 Supplementary, to verify Employee data. You can update Employee’s information under the tabs provided.

Go to Forms>T4>Edit T4 summary, to verify and update Employer’s information.

N.B. It is YOUR responsibility to enter the amount of the company remittances into box 82. This value should be obtained from your accounting software!

To print T4, go to Forms>T4>Print

  1. Select Supplementary for employees, Summary or Audit Report.
  2. Under Parameters, select first and last employee to print. You can select the same employee in both of the boxes to print only one T4 slip.
  3. Under Form Type, you can select either blank paper or pre-printed laser.
  4. Under Alignment, you can move the margin from Top or right

Process of creating T4A and RL-1 is the same as that of T4s

Note of RL-1

For the RL-1, Go to > Forms > RL-1 > Edit Summary > Add the Original starting sequential number and next sequential number and click “Assign All”

Creating E-File is a two-step process:

Step 1: T619 Magnetic Media Transmittal

Go to Forms> Magnetic Media Transmittal. Fill out all the information and click Save to accept the changes. For Transmitter number type in MM 999999. This number was used by CRA to identify companies, but it’s not used anymore.

Step 2: T619 Magnetic Media Transmittal

To submit T4s by e-filing, you must save T4s as an XML file and submit to the CRA. You have to create separate files for every business numbers you might have.

  • To create Magnetic Media file go to Forms>T4>Magnetic Media filing for T4. Save the file on local Hard disk. (For e.g. C:\Paymatew\) or on a network location. Please remember the name and location of this file as this is the file that you need to upload to CRA’s website.
  • Submit this file to CRA’s website using Account number and Web access code (see details below under E-Filing)

E-Filing

The CRA requires companies with more than 50 employees to file T4s online. CRA has sent an Account number and Web access code to all companies required to file online. If you haven’t received your access information, please contact CRA.

Create XML file using Magnetic Media file, (details listed above) and upload the file on CRA’s website.

You have to repeat this process for every business or company you do payroll for. Each company will have their own unique Account number and Web Access code.

How to Email T4s to Employees in Acclaim Plus

There are a few things to reassure prior to emailing the T4s. The employees must be setup to receive payslips by email as this will record their email address within the e-delivery module. Follow these steps to have the emails setup for employees:

  1. Go to Setup > Employees > Double-click an employee
  2. Go to the Miscellaneous tab
  3. Check the box beside Receive Payslips by Email
  4. Enter their email address and password (which will be set by yourself and provided to employees)
  5. Click Save to confirm changes

The next step involves generating PDF.

  1. Go to T4s > Print and select ‘Supplementary’ under Select the form to be printed:
  2. Select ‘Recipient Copies’ under Print and click on the ‘Generate PDF’ button

The next step involves emailing the T4s to employees. You must verify that the T4s have been created prior to delivering the files.

  1. Go to Utilities > eDelivery
  2. On the Delivery Type tab select the email connection method and the Generated T4s radio button under Select Source of PDF files
  1. Click Next to go to the E-Mail Settings tab
  2. Enter the credentials for your email server such as hostname, server port, mail server username and password
  3. Provide a subject and body relating to the T4s
  4. Click on Send a test email to confirm the connection gets established
  5. Proceed to step 8 if you receive the following message:

  1. Click Save Settings and click on Next
  2. Select the list of employees you wish to send the T4s to
  3. Click Send Emails
  4. The Status tab will display the results of the procedure
  5. Click Next to go to the Delivery Report, you can print and preview this for your records
  6. Click Exit

If you encounter any issues during the emailing process please ensure you do the following:

  1. Verify the employee’s correct email address has been entered
  2. Prompt employee to double-check their junk or spam folder
  3. Confirm that the connection does get established when sending a test email

Follow these steps to run Audit report for T4’s

Go to > Forms > T4 > Print > Audit Report

Under the audit report, you can choose from the report type to want to run and preview.

Amending or Cancelling the T4 in Clarity

  1. Go to > Forms > T4 > Edit Supplementaries
  1. In edit supplementaries > go to Employee ID info. Add the submission number to ‘2’ and change the Report type from ‘A’ for amendment or ‘‘C’ for cancelling (for all the employees whom you want to amend or cancel)
  1. Then Go to > Forms > T4 > Magnetic media filing
  1. In the magnetic media filing, change the Submission number to ‘2’
  1. Click on “Create submission”

FAQ’s for T4’s

-Box 52 is not printing on T4s

Go to > Forms > T4 > Edit Supplementaries > Tax info and check for the Registration#.

- Box 24 and Box 26 is not printing or printing zero amount

-Invalid business number T4 summary

-What is my Transmitter Number?

For Transmitter number type in MM999999. This number was used by CRA to identify companies, but it’s not used anymore.

-T4’s and History is not matching

  • Please review payroll group
  • Review 1st payroll and last payroll dates.
  • If 1st payroll date is in previous year then customer need to verify previous year T4s :: that is this payroll reported on T4s or not
  • If not then they need to change date in to current year
  • If last payroll date is in next year then customer need to verify that is this supposed to reported in current year or next year
  • If it is current year then they need to change dates into current year else they need to delete pay card from current year and insert into next year.

-XML Validator Returned an error
