JOB ANNOUNCEMENT

JOB TITLE: Medical Scheduler – (2 positions)

REPORTS TO: Operations Director OPEN DATE: June 23, 2017

DEPT: Administration CLOSE DATE: July 11, 2017

GENERAL FUNCTION:

Manage daily schedule changes for providers, residents, and ancillary support staff.

ESSENTIAL JOB FUNCTIONS:

·  Coordinate daily schedule to cover vacations, education, and sick leave. Block in NextGen and send Outlook calendar invites to employee and supervisor. Ensure minimum of three staff providers available each clinic; if unable to meet notify Assistant Clinical Director immediately.

·  Analyze leave request submissions and make recommendation to supervisors based on their effect on operations

·  Coordinate precepting coverage on a daily basis; ensure adequate coverage for procedures and OMM.

·  Address call-outs for provider, ancillary staff, and medical assistants on a daily basis; block in NextGen and send Outlook calendar invites. Correct staffing in NextGen when applicable.

·  Develop and monitor schedules in NextGen as requested (background colors and appointment types) making updates when necessary.

·  Input provider rounding schedules on a monthly basis into NextGen, AmIOn, and TFM calendar.

·  Develop resident PTHA clinic rotations based on scheduled clinical sites on a monthly basis.

·  Update schedules as needed on a daily basis.

·  Alert individual department supervisors of potential staffing shortages as you are notified. Strategize to meet staffing needs.

·  Maintain running report of attendance incidents. Compile individual staff attendance reports and provide to supervisor as requested.

·  Reconciles attendance daily with employee timesheets against schedule and time in/time out reporting.

·  Collaborate with area supervisors on identifying opportunities to further optimize workforce.

MINIMUM REQUIREMENTS (EDUCATION AND EXPERIENCE): Associates Degree. One (1) years' recent experience (within the last two [2] years) in electronic scheduling and calendar management and one year working in an electronic health records systems.
