RW welcomed everyone to the meeting especially Julie Eyles who was attending as potential secretary.
Meeting commenced with a tribute to Claire Wilkinson and a minute’s silence in her memory.
RW advised the committee that Ginette Tessier had been invited to join the Committee as a non portfolio member.

2.15 – RW has written to Richard D’Silva, and sent a cheque. A thank you card received.
5.3.3 – OE’s have still not paid the umpiring fees they owe from 2003-2004 season, agreed that £22 would be written off.
3.3 Confirmed by PG that any full member insured by HHUA at all times and any umpire appointed by HHUA insured. Secretary to inform clubs that this arrangement applies at any age.
6.1.7. IW has had no response to his request about CRB checks. All to forward details to IW for him to file/keep. IW agreed to find out a route for HHUA to obtain appropriate level CRB checks. Secretary to remind what paperwork is necessary to acquire CRB (eg utility bill, passport, photo driving licence, birth certificate) Noted that several committee members not covered.
12.3 – News item entered on the web page concerning how to become an umpire has been lost as it wasn’t approved within 3 months. IW to mail RW

Andie Wilkinson (Claire’s husband) told RW that there were 300 people at her funeral. Claire had thoroughly enjoyed her membership of HHUA.

Discussed procedure – agreed that the system should be reviewed. Applicants have to be known by someone carrying out the screening procedure.
Agreed that the new NPUA starter pack be customised for HHUA and given to new members.
Teething troubles with getting new members onto the web site resolved.
Agreed that Jenny Mayes should be watched for grading.

Noted that dues outstanding from both clubs and members. Invoices sent out. Noted that sometimes impossible to contact club treasurers. PG resorting to contacting club chairs.
HHUA pleased to note that Weymouth returned their cheque within 48 hours.
Members have expressed concern about rising petrol costs. Agreed that the mileage rate would be raised to 17p a mile. RW to arrange with Tex
Discussed incentive to encourage umps to travel together. Double header rate for taking passenger discussed. RW to discuss web site logistics with Tex.
Saturday Appointments Sec
DB thanked AN and RW for their tutorial on the web site.
Major difficulty caused by umpires failing to enter availability. Over 40 failed to advise. Date by which availability can be entered now 1st of month. Reminder already sent. Any late availability to be notified by email preferably – but agreed this once to allow phones.
Many clubs (despite reminders) have failed to advise of fixtures for October. DB close to RTA –deadline 16.9.05. 5 Men’s clubs Alton, Andover, Fordingbridge and both unis subject to surcharge. (£99) On the women’s side 7 out of 13 have failed to advise about nominated umpires and their availability. A&F 1, Winchester 1 Fleet1 Fareham 1 Soton 2 and Yateley1.
DB requested a facility on the web to enable identification of the umpire to be watched. RW agreed to ask Tex
DB thanked RH for all the information pouring into the site – and agreed that issues surrounding availability would be helped with new umpires by the NPUA starter pack.
Discussed D Hoffman. Agreed that he was a good umpire with availability issues. Agreed this would be discussed with him

RSt apologised for not attending. He made 2 major points – that the coaching committee had agreed who and how they were going to watch and progress. More importantly RSt wants to see a written report from coaches etc promptly after a watching.
Indoor Rep
JH was thanked by RW for his devotion to the indoor cause pointing out the Hants is the only county with organised indoor hockey.
JH explained his plans to introduce a grading system for indoor and official appointments. He requested the necessary facilities on the web. RW to arrange
RJ advised that South were aware of this progress and were keen to assist the implementation of a step ladder from Hants to South.
All agreed with RW proposal that JH assess indoor umpires with RJ & AN
HHA Report
HHA advised that they supported HHUA’s method of appointing umpires.
HHA have given handbooks to HHUA. To be passed to committee and members. Agreed £50 donation to HHA

Red/Yellow Cards

RW advised that the web site now has a facility for entering the number of red and yellow cards shown per match. Umpires should only enter the cards they showed. Totals for teams and umpires to be tallied at end of season.
Umpires to note that this is in addition to any red card or MMO report.

RJ has access to a projector for £450 with 3 year warranty.
Agreed that purchase better value than hiring. Agreed that PSt would house the equipment. Agreed that the forthcoming LOR course would be run using the EH authorised video.

Sponsored New Shirts

RW advised that Festival Place had offered sponsorship to HHA/HHUA of £6000 over 3 years. HHA agreed that HHUA would get £2000 for provision of new shirts.
Agreed that Harlequin design not dignified. Consensus that yellow with black trim and short sleeves would be most useful. Shirts to be badged and have sponsors logo on chest.
Agreed shirts to go to all active umpires Grade C and above. Club umpires not eligible.
JE to email /contact members to establish size.

HHUA Committee

Secretary: Julie Eyles has kindly agreed to fill the post. Ginette Tessier has agreed to stand as non portfolio member.

HHA S & Y and Young Umpires

Written objections have been received from R Merry and G Cheesebrough to the proposal of appointing young umpires to county youth games.
Agreed with HHA that HHUA should appoint to matches as they see fit. Agreed that great care would be taken in appointing young umpires to youth county games. Proposed presence of mentor and senior colleague when young umpire appointed. In addition HHA to appoint match official.

HHUA Committee Dinner

PH presented the summary of his questionnaire which revealed that Zizzi was the clear favourite as the venue for the celebration on Friday 9 December 2005.
PH circulated copies of the set menu. Everyone is to select their preferences and advise PH by 8 November 2005.

RW expressed the Committees huge appreciation to PH

Claire’s Fund

The decision to create a fund as a memorial to Claire Wilkinson was made soon after her death.
RW appointed RSh and JMG to discuss the actual focus/wording of the trust.
PGa received authorisation to create a bank account known as the Claire Wilkinson Trust Fund. The fund is to run until 2006. Facilities are to be made available for umpires to donate from the web. PGa reported that £225 had already been received.

Indoor League

Karen Fox has written to HHUA suggesting the inauguration of an under 16 Indoor League to be known as the South Hampshire Claire Wilkinson under 16 Indoor League. The committee are happy to support this proposal.
Karen Fox also suggested a charity golf day (East Horton) to raise money for the Fund. RW to discuss with Andie Wilkinson and K Fox.

FUA Course: - Unfortunately HHUA cannot support the proposed FUA course on 6 Nov because of our prior commitment to LOR. Agreed once LOR under control we would be happy to support FUA.
Beep Test :- HHUA agreed to RJs proposal to run an HHUA Beep Test for A grade umpires. This would be voluntary, held in July /August and would allow umpires to prepare themselves for tests run by South or NPUA.
Training Night:- RJ proposed a showing of a DVD on body language in lieu of a Rules Evening. Proposed event to be held early January. / RJ
