Handout Submission Procedures for Revisions to

Existing Handouts

  1. All handouts are due to SAE no later than four weeks prior to the start date of the seminar.
    If your seminar is being held in conjunction with an SAE meeting/event, handouts are due no later than ten weeks prior to the seminar start date.
  1. If the handout due date is not met, your handout will be run “as is,” i.e. exactly like your previous version. No changes can be made after this time.
  1. If you are making no changes and running your handout “as is,” please let the SAE coordinator know as early as possible,but no later than four weeks* prior to the start of your seminar.(*Please refer to first bullet if seminar is being held in conjunction with an SAE meeting/event.)
  1. Do not use dark backgrounds with light colored(especially white or yellow) fonts. This combination yields a blank sheet when the printed manual is produced because the dark background must be removed. Our attendees complain when dark backgrounds are used due to their inability to take notes on a dark background.
  1. Submit your document in PowerPoint, not as a PDF. Do not protect the files with codes/security measures or read only. If SAE identifies any typos or discovers any formatting problems in preparing the handout for printing, SAE must be able to modify the document. Corrected files will be returned to you if any changes are made. SAE will add a course description, table of contents, etc. to the handout and paginate the entire document prior to printing. Electronic copies will not be provided to anyone outside of SAE unless authorized to do so by the instructor.
  1. When submitting changes to your presentation, include a list of the slides (slide numbers) that have changed or been added/replaced.You may use the revisions form at the end of this document, or provide us with the required information. Your assistance with this will expedite the preparation of the handout and eliminate the need for us to re-proof slides that did not change. Dividing your PowerPoint presentation into modules will facilitate this.
  1. If you make extensive content changes, keep in mind that your course description will require updating. Notify and work with your assigned developer on course description modifications.
  1. Handouts will be printed in black and white. Color slides can be printed sparingly when necessary to demonstrate thermal differences, light spectrums, color-coded charts, etc. Most handouts require no more than 10 – 15 color pages. Please identify those slides for us when submitting your materials and we will try to accommodate your request.
  1. Remember to include your learning assessment. The learning assessment is included as part of the handout. All seminars must have a learning assessment.

Submission Information

  1. Please name the file(s) with the seminar ID number and module number.

e.g. C0801Module1.ppt, C0801Module 4.ppt, C0801LearnAsssess.doc, etc.

  1. All handout materials should be submitted in electronic formatto:

in Microsoft PowerPoint 3.0 or higher. If the handout is larger than 20 MGs, it will be necessary to break it into multiple e-mails or send it to the FTP site as indicated below.

Presentation to SAE

On your computer, click Start and then select My Computer

You will now see a “My Computer” window

In the address line type or copy and paste ftp://papers://incoming

Press Enter to display the FTP folder

Place your file into this window by using the copy and paste function or dragging.

Your file is now sent to SAE for publishing. For security reasons, you will not see the document placed in the incoming directory. You will receive confirmation when we receive your file(s).
