Guidance for carrying out ‘Aspire/ONE Data Inputting Checklists’

  • Checks are to begin 1stSept 2012
  • A review of how the process is working will take place in February 2013
  • Completed checklists should be kept electronically in the ‘All Localities’ network area for the area, under the ‘Admin’ section where only AM’s, LM’s and Business Support have access

Aspire – BSA, LM

  • 3different records per month to be checked for each Information Adviser, Guidance Adviser, Young Peoples Worker, Youth Development Coordinator, Youth Worker. Amount of checks pro-rata depending on hours worked by the worker.
  • To identify records to be checked the BSA/LM should first look to the CAF (referral) tracking sheet and choose young people for whom the worker is lead professional. Where this is not possible, a ‘find clients’ search on aspire should be ran to identify those worked with in the previous month by the worker.
  • Where possible clients not previously used should be chosen (in some cases, where intensive work is taking place, this may not be possible).
  • When the monthly checks have been completed printed copies of the results should be given to the Locality Manager so any issues can be addressed in the workers next supervision.

Aspire – AM

  • 5 records per term to be checked per area for Information Adviser, Guidance Adviser, Young Peoples Worker, Youth Development Coordinator, Youth Worker and Locality Manager
  • Records should be chosen based on any concerns the AM has through discussions with LM or randomly from a list of cases from the CAF tracking sheet.

ONE – BSA

  • 3 different records per month to be checked for each Family Worker, EWO, ISS staff.
  • Where possible clients not previously used should be chosen (in some cases, where intensive work is taking place, this may not be possible).
  • When the monthly checks have been completed printed copies of the results should be given to the Locality Manager so any issues can be addressed in the workers next supervision.
  • BSA’s should run a report cases closed within the current month and pick 3 from this list, if 3 are unavailable BSA’s should look to the CAF tracking sheet and pick 3 where the worker is lead professional
