Entering Opportunities in CRM

From the Sales Module

  1. Go to the Sales Module (in the lower left corner)
  2. Note: you can also start a new Opportunity when you’re in an Account or Contact record by clicking on Opportunities in the left hand navigation menu.
  3. It is recommended that of those other two options, you start it in association with an Account. You will be able to enter the Primary Contact associated with it within the Opp.
  1. Click on Opportunities
  1. Click New (in the top tool bar)
  1. Fill in the General information fields
  2. Topic – Enter the company/account name first, then other info you want to enter
  3. Eg: Boeing Co – H Seat & Training
  4. Potential Account is the Company name – use the search option to find the company, then select it.
  5. Create a New one if necessary.
  6. Primary Contact - the main contact associated with this Opportunity
  7. Enter Probability
  8. Enter Estimated Close Date
  9. Enter Rating
  10. Revenue - Choose System Calculated
  11. All but the GSA price lists are in the system. International ones are noted as INTL.

  1. Save - You must SAVE the Opportunity before you can enter any Line Items
  1. Next, enter the Products for your Opportunity
  2. Click to select your first Price List
  3. Click on the Search icon to the right of the Price List field
  1. From the Price List, choose the first Price list you will choose an item from. You can only use one price list at a time.
  2. Click OK
  3. Click in the middle of the Line Items Box
  4. Click to Add New Opportunity Product in the upper left hand corner
  1. Click on the Search Icon next to the Existing Product field.
  1. Choose the first product from that list you want to add.
  2. Click OK
  3. Open the Unit Search Icon
  4. Click on the box that corresponds with the type of application that’s being purchased.
    Eg: HAR for Hardware, SEM for Software, etc.
  5. Click OK
  6. Enter the Quantity – usually 1
  7. If you are going to add another product from the same Price List, you can click Save & New. If not, Click Save & Close (upper left hand corner).
  8. If you are going to add another product or service on the same Opportunity from a different Price List, then you need to SAVE the Opportunity before selecting another Price List.
  9. Then go back up to Number 12. Repeat that process until all of the necessary products are listed in the Line Products window. (Note: sometimes you need to click into one of the fields on the page to activate the main menu with ‘Save’ options on it).
  10. Once all the products are listed, you may need to click on the Recalculate Opportunity button at the top.
  11. Save & Close the Opportunity when you are finished.

To Close an Opportunity

As Won

  1. Click on the Close as Won Button
  1. Enter any suggested information

As Lost

  1. Click on the Close as Lost Button
  2. Enter any suggested information
