Avaya IP Office is the perfect solution for your customer up to 2,500 users, one that will easily and cost-effectively scale up as their business grows. With the Win with IP Office promotion, you can offer customer’s unified communications through Avaya’s flagship collaboration platform at a promotional discount that will help you win the deal.
Promotion is available to Avaya IP Office resellers in the Middle East, Africa, Turkey, India and Russia/CIS region (excluding Israel) until 27th September 2015. Requirements for eligibility and discount rates are shown below. Please review the offer document for a complete list of discountable material codes.

Promotion Description

Avaya is pleased to announce the Win with IP Office promotion. The promotion is being extended till 27th September 2015. Resellers must place the order by 27th September 2015; Distributors must ship and invoice the entire solution by 30th September 2015.

The Win with IP Office Promotion is modified to have two distinct options targeting different use cases & scenarios.

1.  IP Office for Small Customers – the sub 100 user segment

2.  IP Office for the Mid Market – the >100 user segment

Detail on all these are outlined below.


Small Solution

Promotion detail

In order to facilitate ease of selling into the sub 100 user segment this part of the promotion is exclusively using bundles of fixed configurations at different user sizes at a fixed price – which includes the main IP Office hardware and software requirements. In summary the following construct bundles are available:

As an alternative to discount on the Networking portfolio the 3500 Stack, Evolve the Edge Promotions can be used (until March 26th 2015) or the Fabric NOW promotion (new from March 2015), provided these components are quoted and ordered separately from the Win with IP Office configuration.

Eligibility Requirements & Conditions

·  Min 8 extensions

·  Fixed configurations have to be ordered as offered, no changes can be made

·  Digital and IP bundles require the corresponding number of Digital, IP and Conference phones to be purchased with it before the bundle discounts can be applied

o  For example the 24 IP Essential bundle requires exactly 24 phones to be purchased with a mix of IP phones and conference phones. A maximum of 2 conference phones can be purchased per bundle.

§  The 8 Digital Basic or Essential Bundles only require 6 digital phones to be purchased

§  The 24 Digital Basic or Essential Bundles only require 22 digital phones to be purchased

·  Anything that the customer requires outside of the bundles, needs to be purchased separately and at standard pricing or leverage the Flexible configuration option

·  On the flexible configuration option the number of IP/Digital desksets is not to exceed 5% more than the total number of IP/Digital users

o  If these quantities are exceeded the additional quantities will be moved to a separate purchase order and will not receive the promotional discounts.

o  Avaya and the distributor reserve the right to question other product quantities if they appear to be in excess.

Operationalisation

The Win with IP Office Promotion is available in the Marketing Promotions Module, and for single customer orders can be quoted and priced up instantly without the need to raise a special bid. Ensure your quote is in Ready to Order status, Check for Promotions, and Apply the Promotion.

Key tips to ensure that your quote triggers a fixed bundle promotion are

I)  Ensure you use the validation sheet to create the BOQ

II)  Ensure the license codes in the quote are ADI licenses and not PLDS

Exclusions: Promotional discounts are not applicable on DECT and WIFI Phones solutions, nor ASIPP Software material codes. A list of exclusion materials is included in Appendix B.

For bulk orders of the fixed bundles only, the process is to raise a special bid request using the following process:

NOTE: single bundle orders are not permitted to use special bid process anymore and need to use the Marketing Promotions Module, any request for single bundle orders through special bid will be rejected.

1.  Fill the “Bundle Validation Sheet” for the entire order of a partner. Multiple bundles can be combined in a single quote/order.

2.  Bundle validation sheet will produce a consolidated BOQ for the order.

3.  Create a new merchandize quote in Avaya’s One Source tool for with the BOQ

a.  The exact quantities of the items as per Appendix A.

b.  A mix phones & conference phones, with a total quantity as required per the promotion rules.

4.  Ensure that the quote is at ready-to-order status.

5.  Request your Avaya associate/Distributor to raise an SBA for you. And the subsequent steps will be the same as usual SBAs. However, there will be flexibility of not reporting end-user name at the time partner buys the bundles stock. They will be allowed to report the enduser information once the bundles are sold to actual end-customers. For details on this process, please refer to attached addendum “Reseller Stocking Trial”.

Distributors’ Process / Rules

Promotion Terms and Conditions

Avaya partner must place the order in one PO with the minimum configuration from the email confirmation by 26 March 2015. The distributor must ship and invoice the full solution by 31 March 2015. Non-compliant orders will automatically be rejected by the distributor.

Promotional Terms & Conditions (General Global)

Updated April 22 2014

1.  The terms and conditions outlined herein will be in effect for the duration of this promotion (hereinto defined as the Promotion).

2.  The word Partner in these terms and conditions means the Avaya Distributor or Reseller that claims discounts under the Promotion. Partner must be authorized for each product line/service offerings and meet any additional requirements for reselling specific products/services. Partner is not automatically authorized for a product line /service by virtue of receiving this notice.

3.  Breach of any of the terms and conditions within this document may result in Partner being de-authorized as an Avaya Partner. In addition, Avaya has the right, to claim damages from any Partner participating in this Promotion, in the sum of the difference between the price at which the Avaya products are sold pursuant to this Promotion, and the price which the Partner would have paid under normal circumstances, without the Promotion.

4.  All sales made from this Promotion are fulfilled under the terms and conditions under which Partner has agreed to resell products and services. This Promotion does not alter or change the terms and conditions under which Partner has agreed to resell products and services unless otherwise specifically stated in this Promotion.

5.  Avaya expressly disclaims any and all liability relating to the results of any of its marketing plans or promotions.

6.  The Avaya account representatives have no authority to interpret or vary the terms of this Promotion.

7.  Avaya reserves the sole right to interpret and establish the terms and conditions of this Promotion.

8.  Partner must place a single Purchase Order on their Distributor for all material codes included in the approved quote, upon which the promotional discount has been authorized. The Distributor must execute product shipment, invoicing all claim details, including mandatory materials, with invoices dates that are on or before the promotion claim by date. Any invoice submitted but not completed by the promotion claim by date will be viewed as a non-compliant purchase order and should be rejected by the distributor. Distributor claims received post the last promotion claim by date reporting period will be rejected by Avaya.

9.  All IP Office licenses must be ordered as a License Key within either the ADI or PLDS system. Use of Certificates is not allowed when receiving transactional preferential pricing (promotions, special bids, deal registration, etc).

10.  This Promotion may not be used in conjunction with any other Avaya promotion unless otherwise specified within the terms and conditions of this Promotion or another Avaya promotion.

11.  All orders must be placed through Avaya’s order management system or an authorized Distributor. Billing, shipment, and payment of equipment purchased under this Promotion follow standard Avaya procedures.

12.  Information contained herein is confidential and proprietary information of Avaya and is provided for the internal use of Avaya and its authorized Partners. Except as specifically authorized in writing by Avaya, the Partner shall not alter any terms and conditions of this promotion. Any attempted alteration shall be deemed null and void and of no force or effect. In no event shall Avaya be liable for any errors or omissions resulting from the information contained herein.
