SUMMARY OF MAIN FUNCTIONS AND PURPOSE OF JOB
The office administrator is responsible to manage the entire pharmacy administration duties as specified by the responsible pharmacist. The incumbent is further required to meet tight deadlines, to be accurate, to follow policies and procedures and to interact with members of the staff, management, external companies associated with Hospital and members of the public.
LIST OF DUTIES AND RESPONSIBILITIES
- Ensure filing is maintained and up to date.
- Typing of documents for Pharmacy Manager and other staff members eg Policies, Procedures and Formulary.
- Plan and Prepare for a meeting
- Co-ordinating all necessary arrangements in order to ensure that meetings are conducted professionally and administering the necessary documentation associated with
- Ensuring annual stock-take documentation is prepared well in advance.
- Attend meetings as required.
- Ensure that all general office duties are conducted such as filing, faxing, and general administration of documentation.
- Implement and maintain a filing system.
- Effectively schedule appointments made by relevant parties in the diary of Pharmacy Manager. Use discretion regarding timing of appointments as well as duration.
- Ensure that all assets within the control of the Pharmaceutical services department are efficiently managed.
- Management of Pharmaceutical Services Department stationery.
- Ensure professional image to the office of the Pharmacy Manager.
- Responsible for adding value to your Manager.
- Confidentiality is maintained with all documents and with Manager’s work.
- Receives telephone calls and refer the calls to relevant role players.
QUALIFICATIONS AND EXPERIENCE
- Matric Certificate & Secretarial Diploma
- Minimum of 3 years’office administration experience.
KNOWLEDGE, SKILLS, TRAINING AND COMPETENCIES REQUIRED
- MS Excel,Word and Power point knowledge will serve as an added advantage.
- Good analytical skills.
- Good communication skills.
- Good telephone etiquette
- Good interpersonal skills.
