Main duties and responsibilities

Opening and Security College Premises

1.Open and close the premises, ensuring when locking all lights and electrical appliances are switched off, windows are closed and alarms are successfully set and when opening all rubbish is removed from buildings and deposited in designated waste management units.

Routine Sites and Buildings Inspections

2.Carry out routine inspections of sites and buildings, plant and equipment, inclusive of morning checks on boilers, in addition to planned preventative maintenance schedules, reporting any defects and immediately drawing attention to any emergency/health and safety matters, as appropriate.

Building Services Internal

3.Carry out routine planned, preventative maintenance, improvement works (type and degree dependent on trade skills) and estates helpdesk requests, across all buildings on all sites, in addition to routine visual inspection checks of all buildings and services, logging any proactive estates works on the estates helpdesk. Undertake room set outs and returns, minor maintenance repairs and upgrading/improvement work in consultation with the Site Operations Manager.

Site Services External

4.Ensure routine collections of all external bins are carried out inclusive of routine deep cleans of bins. Monitor and report to Site Operations Manager on contracted waste collections outlining any issues and/or recommendations related to services. Ensure sites are routinely checked for graffiti, blocked drains, litter, damaged fencing, windows, pathways, roadways etc implementing an immediate response to resolve in-house or advise Site Operations Manager if external contractors required.

Adverse Weather

5.In line with college procedures ensure gritting and pedestrian management works across designated site areas are given priority in the event of adverse weather conditions.

Goods Inwards

6.Support postal services co ordinator and postal services as and when required, receiving and recording parcel deliveries, responding to phone and/or in person staff queries, signing out stationary stocks, collecting/transporting post and photocopier paper stocks between and within the two main sites and MIC House.

Customer Liaison

7.As a college ambassador cultivate an efficient, reliable and user-friendly support service, contributing to the security and safety of learners, staff and visitors.

Contractors

8.Contact and liaise with contractors, in consultation with the Site Operations Manager, as and when required to carry out routine and/or call out maintenance and/or one off improvement works, escorting to locations, ensuring access to buildings and monitoring expected practices around health & safety and sustainable & environmental management.

Car Parking

9.In consultation with Site Operations Manager SupportBehavioural Support Officers with car parking management as and when required in accordance with established policies.

Events Management

10.As and when required support college events ensuring an efficient and effective events management response that meets customer needs, to include setting out of furniture, coordination of car parking and events directional signage, and helping to maintain the health, safety and welfare of visitors.

Service Level Agreements

12.Maintain Estates Officer service level agreements ensuring their efficient and effective delivery, identifying areas of improvement, and cost effective systems of work in consultation with Site Operations Manager.

Planned, Preventative Maintenance

13.Support planned, preventative maintenance (PPM) schedules by carrying out allocated routine building and site inspections, working in collaboration with the Site Operations Manager as per schedules, reporting routinely on inspection completion, maintenance requirements and completion and/or inclusion on improvements or contractor intervention works.

Business Continuity and Emergency Plan Procedures

14.To participate in and support the Business Continuity and Emergency Plan procedures, ensuring procedures are carried out fully ensuring role is routinely reviewed with a view to improving efficiency and effectiveness.

Radio and Mobile Communication

15.A 2-way radio must be carried at all times to ensure team and cross college contact to advise on unplanned routine and emergency works requests as and when required. The estates mobile is to be kept charged and utilised when working off campus or on campus when contact not possible via the radios.

Helpdesk

16.Monitor and respond to daily estates reactive maintenance and porter works logged via the electronic estates help desk and health & safety system. Works to be responded to promptly with confirmation of completion and/or progression notes to be uploaded as part of customer service and to be monitored by Site Operations Manager.

Team Mentoring

17.Estates Officers with a trade and site experience to help mentor, in consultation with the Site Operations Manager, fellow non trade estates officers, introducing them to new skills and appropriate health & safety procedures, in relation to electronic systems, such as Building Management Systems (BMS), visual checks & setting adjustments on mechanical plant, physical tools, minor repairs & improvements works, such as fitting locks, painting & decorating and joinery and/or plumbing works.

Collaborative Working

18.Working collaboratively with the Strategic Team, Head of Estates, Site Operations Manager, Building Services Engineer, Behavioural Support Officers, Reception Staff and cross college directorates the post will also call for collaborative working with external partner organisations to contribute to partner projects and the development of efficient and effective working practices as and when required.

19.To identify the financial, health & safety, sustainable and environmental, equality, confidentiality or other risks associated with the post’s sphere of responsibility and to define and take positive action to highlight and minimise these risks.

Estates Profile

20.Contribute to the development of the internal team profile, contributing to forums such as website intranet pages, internal student magazines, student council committee meetings, classroom talks on estates functions, annual service surveys, promotional events such as themed Health & Safety and Green Weeks.

Any Other Duties

21.To carry out all the above duties in the context of the practical application of the College’ Equality and Diversity Policy and acting responsibly at all times in order to maintain the health & safety of yourselves and others.

TERMS & CONDITIONS FOR EDUCATION BUSINESS SERVICES (STOKE) LTD

The post is offered on an Education Business Services (Stoke) Ltd contract.

Conditions of Appointment

All appointments are offered subject to a period of probationary service up to twelve months, during which time performance will be assessed. In addition, all appointments are subject to:

• medical review

• verification of relevant qualifications

• receipt of references considered suitable by the Company

• a satisfactory enhanced Disclosure check

Working Hours

The standard full time working week for all staff is 37 hours.

Salary Payments

Salary is paid by direct credit transfer to your bank or building society account in 12 equal parts. Payment is made on the 27th day of each month or the next working day thereafter.

Notice Periods

The amount of notice you are required to give and entitled to receive is 1 months. Fixed term appointments may be offered with a notice period of one week, depending upon the length of the fixed term. The notice period applicable during a probationary period is 1 week.

Location of Work

Your principal place of work will be at the site given in the job description of the post. However, you may be required to work on either temporary or indefinite basis, at any premises at which the Company may from time to time provide services.
