Description:
Dzine Studio, Inc. is seeking a fine art Executive Assistant to assist the artist, Carlos Rolón/Dzine. Must be available to begin on Monday, February 13, 2017.
Responsibilities:
- Studio/Office:
- Work directly with artist as well as studio staff to ensure open communication
- Assist in the organization and planning and execution of exhibitions and special projects
- Maintaining organization and cleanliness of studio and office space
- In charge of all studio scheduling, shipping, travel booking, and maintaining studio and office supply inventory
- Assist in in-studio photoshoots of artist’s works with assigned photographer
- Administrative:
- Manage daily calendar of appointments as well studio projects
- Answer studio email, phone calls and other inquiries in a timely professional matter, while staying in contact with the artist on a daily basis
- Liaison with galleries, museums, collectors, non-profits and special project contacts in the best interest of the artist and in a timely fashion
- Handle contracts and payments with outside vendors in a professional and timely manner
- Manage and assist with paperwork in regard to all exhibitions, installations, and special projects
- Responsible for all bookkeeping, independent contractor payments, and project budget management; QuickBooks knowledge is a plus
- Manage exhibition logistics; coordinate details for special projects with the artist and main studio fabricator.
- Possible supervision of full or part time intern(s)/assistant(s)
- Work with studio archivist to maintain inventory tracking and image archive for works produced in the studio to include paintings and sculpture. Manage artist’s 20+ year archive of images
Requirements:
- Bachelors degree in Fine Art, Arts Administration, or similar field
- Minimum 1 year full-time experience in a gallery, museum or fine art studio environment
- Proficient with MAC OS and Microsoft Office suite
- Must have leadership and comprehension skills necessary to work closely with artist, supporting artist’s priorities and vision
- Excellent communication skills – both written and verbal. Ability to write artist statements, press release, bio, CV, website, etc.
- Maintain strict confidentiality of highly sensitive financial, staff and personal information; exercise discretion and judgment in all situations.
- Must be highly organized, detail oriented and possess strong communication skills, be polite, self motivated, and efficient
- Work independently with strong prioritization skills, ability to problem solve issues that require the attention of the artist
- Office management experience that has resulted in increased efficiency and productivity for previous workplaces
- Demonstrates ability to work effectively and tactfully with gallerists, consultants, vendors and lenders
- Ability to maintain composure under stressful conditions and handle complex problems with minimal supervision
- Proficient with MAC OS and Microsoft Office suite
- At times, need to be flexible to work late hours and available to answer questions after hours
Plus to have:
- Interest and/or experience working in contemporary art
- Working experience with Adobe Suite
- Working experience with Quickbooks
