DRAFT Minutes – PotomacValley Association USATF Long Distance Running Committee

Present:George Banker, Nancy Betress, George Harris, John Haubert, Bob Platt, Liza Recto (by phone), James Scarborough, Jay Jacob Wind

1.Minutes:We reviewed and approved the draft minutes of June 29, 2006.

Jay noted that the 2006 meeting established a procedure for selecting events conducted by PVA member clubs as PVA LDR championship races.

2.Budget:Bob moved, John seconded, to present to PVA’s Planning and Budget Committee

the following draft budget:

We agreed to support clubs who wish to host championships at distances including 5K, 10K, 10M,

Half-Marathon, and Marathon,

Six plaques per race:

Top 3 USATF overall male / female

Top 3 USATF masters male / female

Total plaques around $150 per race, plus shipping … $ 1,000.00

USATF PVA Championship banner …$ 250.00

Athlete travel to national or international championships or Olympic Trials $ 2,000.00

The applicant must submit credentials including recent performances and goals.

A committee chair can authorize up to $250 for an athlete’s travel;

amounts above $250 require membership approval.

Coaching / Officials / Race Directors Clinic …$ 2,000.00

Miscellaneous, e.g., promotion …$ 1,000.00

Unallocated …$ 3,750.00

We agreed to promote USATF sanctions to future races. George Banker, Nancy, Bob, Liza, James, and Jay all reported that they recommend USATF insurance when organizers of local races call to ask how to get insurance for their races.

3.By-laws:Bob moved, Liza seconded, that we recommend keeping the sports committee chairs on the Executive Committee, and we oppose any by-laws change that removes the sports committee chairs from the Executive Committee. Passed 5-2.

4.Sanction Fees:Bob moved, James seconded, to ask that PVA set up a task force to review the sanction fees to make a recommendation to the membership in May. Passed unanimously. George Harris appointed Jay to chair the task force.

5.Adjourned:Jay will set up the next meeting in February 2010.
