The offer of a Sydney Medical School Foundation (“the Foundation”) Grant is subject to the following terms and conditions.

  1. FINANCIAL ADMINISTRATION

1.1Recipients must be members of the academic staff of Sydney Medical School (“SMS”), and either on the payroll of the University of Sydney or have been formally appointed according to established processes for Conjoint or Clinical appointments in Area Health Services and associated research institutions.

1.2If salaried by the Grant, the Chief Investigator (or research staff salaried by the Grant) must be or become a salaried employee of the University of Sydney. University conditions of employment will apply as determined by the University of Sydney.

1.3Payment of the Grant into a University account will be made by six-monthly instalments each calendar year. Any funding unspent by 31 December of each year of support may be carried forward except in the final year of the Grant. Any funds unspent at the end of the final year must be returned to the Foundation.

1.4Funding is conditional on ethics approval from the Research Ethics Committees of the University of Sydney, and will be terminated if evidence of approval is not supplied with the first year’s six month progress report.

1.5Interest earned on Grant money will be considered as part of the Grant for financial acquittal purposes.

1.6The Foundation reserves the right to audit the research funded by the Grant from time to time as it sees fit.

1.7Recipients are responsible for monitoring expenditure and ensuring expenditure does not exceed grant funding. The Foundation will not provide further funding to make up any deficit.

  1. REPORTS

2.1A report on progress must be submitted six months after the commencement of Grants lasting more than one year, for review by the Foundation’s Scientific Advisory Committee (“SAC”).

2.2An annual report must be submitted by the second Friday of December each year, for the duration of the Grant, for review by the Foundation’s SAC and for inclusion in the Annual Report. An expenditure summary and reference to any additional grants or fellowships received by the principal investigators during the course of the year, and a list of publications accepted for publication during the year must be attached to the report.

2.3For grants in respect of which an extension is sought, a detailed report must be submitted for reviewby the Foundation’s SAC six months prior to the end of the initial grant period.

2.4A final report must be submitted at the end of the Grant period. The report should include a financial statement indicating how funds were spent over the course of the Grant.

2.5Reports are to be formatted and submitted as instructed in the document, Reporting Requirements.

2.6A list of publications must be provided to the Foundationas instructed in the document, Reporting Requirements, for inclusion in the Foundation’s Annual Report.

2.7The Foundation retains the right to withhold funding in cases where reports are not provided to the Foundation within the required time framewithout sufficient reason being provided to the Foundation prior to the time the reports are due,or where the submitted report is considered unsatisfactory by the SAC and Council.

  1. PUBLICATIONS

3.1The words ‘The Universityof Sydney’ must appear in the author address line in all publications and presentations arising from research supported by the Grant. All presentations about the research undertaken during the period of the Grant and arising from the Grant must be similarly noted.

3.2Formal acknowledgement of the Foundation must appear in all papers published from funded research.

3.3The recipient oftheGrantmust use best endeavours to make the results of their research available through the usual scientific channels.

  1. TERM OF GRANT

4.1The time period of this grant is [insert] with the possibility of extension for [insert].

4.2Whether an extension will be granted will be a matter for decision by the Dean, taking into account recommendations by the Foundation’s SAC.

4.3No grant will be extended beyond 5 years.

  1. OTHER REQUIREMENTS

5.1The chief investigatorof research supported by the Grant will be known as aSydney Medical School Foundation Fellow, or other title as determined by Council. This designation is to be used in all correspondence.

5.2‘The University of Sydney’ must appear in the postal address of the chief investigator.

5.3The principal investigators of research supported by the Grantmust co-operate with the Foundation in promoting the work of the Foundation.

5.4Any media coverage arising from the research supported by the Grant should refer to the Foundation’s support of the project where possible. Copies of media articles should be sent to the Foundation office.

5.5All Grant applications for support from National Competitive Grant agencies (those qualifying as category one income in the DEST HERDC) must be submitted through the University of Sydney Research Office.

5.6Approval must be sought in advance from the Foundationfor significant deviation from the program approved by the Council.

5.7Failure to satisfy any of these conditions may (at the absolute discretion of the Foundation) result in termination of the Grant.
