2.  Learnings from 2006 workshop

·  What are key learnings from 2006 workshop?

Agenda and Minutes: September 15 2006

-  The following ideas were raised and discussed:
o  Promote having joint Operator/Service Company presentations.
o  Try not to have the people do Continuing Education classes and Technical Presentations, or at least have them present different topics.
o  Focus on advertising for the next Workshop:
§  SPE
§  Well Services Magazine
§  PTTC
o  Highlight the benefits of the Continuing Education for Operating Companies.
o  Try to have people from Operating Companies serve as General Chair and Session Chairs. They tend to encourage others from their companies to attend.
o  Focus on including more Operating Companies:
§  Oxy
§  Chevron
§  ConocoPhillips
§  Pioneer
§  Anadarko
§  Amerada Hess
o  We need to provide CD’s of the Continuing Education courses.

3.  Workshop dates

·  Should we plan for a Beam Pumping System Workshop in 2007?

·  If yes, when?

·  If no, should we consider having one every other year, so in 2008, 2010, etc.?

Agenda and Minutes: September 15 2006

-  The next Workshop will be scheduled for September 11 – 14, 2007.
-  The Workshop will be for three and one-half days.
-  We will have two days of Continuing Education on Tuesday and Wednesday, and one and one half days on Technical Workshop on Thursday and Friday morning.
-  Many people leave at noon on Friday, anyway.

4.  Workshop advertising

·  How can we best advertise the workshop?

-  We don’t yet have a Workshop poster?
-  Develop a poster to be reviewed by the Steering Committee.
-  What other advertising should we pursue: magazines, web sites, e-mail mail outs from Service Companies.
-  Cleon Dunham will draft the Workshop poster and review it with the Steering Committee.
-  Cleon Dunham will check with American Oil & Gas Reporter for advertising.
-  Ronda Brewer will check with World Oil for advertising.
James Martin will ask Robert Lestz to check with PTTC for advertising.

-  Where do we stand with World Oil?

5.  Workshop venue and registrations

-  The 2007 Workshop will be in Houston, Texas.
-  Ronda Brewer will evaluate specific hotels.

-  Ronda Brewer --- What is the status of checking on the Workshop hotel for 2007?
-  Ronda Brewer has asked for a bid from the Wyndham Hotel. We will meet at the same hotel in 2007 if a reasonable deal can be negotiated with them.
-  The approximate net income from the 2006 Workshop was $8,000. Of this, $6,000 will go to ALRDC and $2,000 to the SWPSC. This number is not “official” yet. Ronda is still waiting on the final bill from Amex.
-  Ronda Brewer will send the list of 2006 Workshop attendees as soon as she has a chance to clean up the list.

Agenda and Minutes: December 11, 2006

-  Have we decided on a Workshop hotel?
-  Do we have the final income/expense statement for the 2006 Workshop?
-  The financial results of the 2006 Sucker Rod Pumping Workshop are available.
-  Due to the very high cost of the hotel, the net income for ALRDC was only $3,400.36.
-  Total income was $51,385 and total expenses were $46,851.19.
-  Total net income was $4,542.81. ALRDC receives 75% of this or $3,400.36.
-  A potential contract has been arranged with the Wyndham Hotel in Houston.
-  Ronda has been able to negotiate a better rate than last year.
-  The Steering Committee gave its authorization to sign the contract with the hotel.
-  We will have a “box lunch” on Friday, Sept. 14, the last day of the Workshop.

-  A contract has been signed with the Wyndham Hotel.
-  We are committed for fewer rooms and attendees than last year.
-  This should reduce our overall cost for the 2007 Workshop.

-  How many hotel rooms are we committed to fill?
-  What sort of meal program have we committed to:
-  Have we defined the rooms to be used for the Technical Workshop, the Exhibits, and each of the Breakouts?
-  Are we locked into to times for use of each room, or do we have some flexibility?
-  We have committed to 50 rooms per day. We need to fill at least 80% of them.
-  We have committed to $20,000 for food. We need to use at least 80% of this amount.
-  We will use the same meeting and exhibit configuration as last year.
-  We have the spaces all day on Tuesday and Wednesday.
-  We need to be out by 6:00 pm on Thursday.
-  We need to be out by 1:30 on Friday.
