HR405: New Employee SSA Form Completion Monitoring

Description

HR405, in the default view, lists the employees who HAVE NOT submitted their DMA and/or SSA forms to HR or have done it so recently that it hasn’t been updated in R/3 and BW yet.

Report Usage

Periodically run HR405 to view the new employees in your organization who have not yet processed their DMA and/or SSA forms so they can be encouraged to complete & submit their forms.

Default Variables Entry Screen Exclusions

Employees included in the report are initially filtered in via the # inclusion as the Processing Indicator.

Employees who are withdrawn are initially filtered out of this report on the Variables Entry screen. Remove the “0” from Employee Status to include Withdrawn employees in a report.

These forms are stored on the employees Primary Position so the Variables Entry screen includes those employees whose positions have a “P” indicator.

Tips

Type a Date RANGE to include a time period of new employees. Do this by selecting the Parenthesis from the drop-down for Begin Date Range.

When a new employee is hired, a DMA and an SSA Task are created in Infotype 0016. Initially they are marked as “New Task” and default to the hire date. When employees turn in their form(s) HR changes the status to “Task Complete.” When you run this report, those who have the new task that haven’t submitted their paperwork get a pound sign (#) as their Processing Indicator. By default the report only displays those who haven’t turned in their forms (thus they still have a # sign).

To display all new employees during a time period, whether they have submitted their form(s) or not, remove the # sign from the Processing Indicator variable on HR 405’s Variable’s Entry Screen. Those who have turned in their forms will have a “2” as the Processing Indicator and the date will reflect the day the HRSC updated their records to reflect receipt of the forms.

Since the DMA and SSA forms are new federal requirements, longer-term employees will not be listed on the form at all because they have not turned in the form (“2”) and they have not been identified as needing the form when hired (#).

HR405 reflects form submission monitoring data that is not available in any other decentral BW or R/3 reports.

This information can be found in Infotype 0016 in R/3.

Since BW data is as of the previous day's business, this report will not include any activity that has posted today in R/3.

Additional Information:

N1 – Spouse/Dependent is a group of spouses and dependents of deceased retirees that were converted from HRMS in order to manage their benefits

N3 – Special is a group of employees who are not paid by UC. Normally they are Visiting Faculty who are paid by another institution and not UC.

N4 – Corporate is a group of contractors and employees of the College of Medicine’s Private Practices who need access to UC Flex plus the Clinical Instructors at University Hospital

O1 – Out of Area is a group of Post Docs who work outside the local area
