E-mail Information
Basic Information
Everyone will be using a web-based e-mail package called Outlook Web Access. You can access your mail through this link from home or any machine in our district.
To access e-mail system
Select the link for Mail Server under the District Information button on Claymont’s home page.
To create a shortcut on your desktop, follow these steps:
- After navigating to the e-mail login screen, select Favorites, Add to Favorites, select OK.
- Find the link you just created in the favorites menu, right click and select the option to send it to the desktop.
Many of the basic features of the mail system are the same, sending, forwarding, and replying. I will cover what is different and additional features that are available.
Basic Commands
The toolbar shows the common e-mail commands from left to right of new, move/copy, delete, reply, reply all, forward, e-mail view, check for new mail, search, address book and help. Do not get these confused with the toolbars that are Internet Explorer options.
The folders along the left edge are groupings of your mail, with new mail coming into your inbox. The buttons along the lower left are used to navigate between mail, calendars, and address books, now referred to as contacts.
Options to setup before using mail
Select the option button in the lower left. This is where you set spelling options, junk mail filters, font and color preferences, and edit your signature file.
E-mail disclaimer
In your signature file, you need to add a disclaimer about confidentiality of possible information that you are sending. A new federal law requires this on any electronic data (faxes or e-mail). The following is what is on our fax cover sheet and meets the criteria for the new law. You will need to put your name and contact information in before this.
This email is intended only for the person to whom it is addressed and may contain confidential, proprietary and/or privileged material. Any review, distribution, reliance on, or other use of this information by persons other than the intended recipient is prohibited. If you receive this message in error, please immediately notify the sender and delete all copies of it from your system. Thank you.
Messages
Toolbar options when you open a mail message consist of reply, reply all, forward, print, create rule (can be used to filter junk mail),move, delete, arrow buttons to navigate through next mail and help. This is also available by right clicking on a message.
Address Lists
This system has the ability for global address lists. Many of the common address listings are already setup for you. You should only have in your personal address book, listings of persons that are outside of our organization.
The global lists include:
All staff members- everyone at Claymont
Building groupings- a list of everyone in a certain building
Grade level groupings for K-6
Title Teachers
Special Education Teachers
Departmental groupings for 7-12
Educational aides- all aides in the district
Secretaries- all building secretaries
Principals- all building principals and assistants
The list is searchable by e-mail name or building grouping. If you search by the following key words, all of the common groupings will appear in the results.
High School- all staff, science, language arts, social studies, spec ed, math, fine arts, related arts, department heads
Junior High- all staff, related arts, science, math, language arts, social studies, spec ed
Intermediate- all staff, 5th grade, 6th grade, related arts groups
Trenton- all staff
Eastport- all staff
Park – all staff
Central- list of all staff at Central office
Title- title teachers
Special Education- all special education teachers in the district
Kindergarten, First, Second, Third, Fourth- grade level teachers
Secretaries
Principals
Contacts
This is your address book. You can add persons by selecting the new button.
Calendar
Outlook has the ability to log events, share calendar with others. Select the calendar tab to view calendar. Options of create appointment, print, delete appointment, views of daily, weekly or monthly, reminders are listed in the toolbar.
You can add meetings, set reminders for yourself, set up appointments as reoccurring for a range of time, and invite people to your meetings. Reminder: The only way you are reminded is if you leave your e-mail application open and running. (You can minimize it)
Conversion of existing saved mail
If you previously used web mail, you can not transfer any saved mail to the new system.
If you used Eudora, you can forward the mail you want to save to yourself and the new system will pick this up. Eudora will be removed from machines over the summer.
