A tentative booking will be held for 48hrs after your original date of reservation and until confirmation has been received.
Payment
The CHDC requests that all expenses for your event be paid within 7 days of invoice date.
Payments can be made by cash, cheque, credit card or direct deposit (details will be on the invoice).
Insurance
The event organisation agrees to hold harmless CHDC and the owner of the property for all damage, costs, actions, demands and claims, which may be sustained by or suffered by the event organisations attendees or its employees arising out of the hire of the property.
The event organisation agrees to provide evidence of public liability insurance for all indemnity of not less than $10,000,000.00 covering any damage to the hired property.
This policy shall cover the full duration of the event and is to remain current until the building and grounds have been vacated.
A copy of this policy must be provided to the CHDC upon booking the event. The provision of this documentation is essential to the event proceeding and our property.
The event organisation will not carry out any activities on the hired property that may prejudice the insurance cover on the hired property.
Cancellations
A minimum of 24hrs notice must be given for any event cancellation.
Venue Hire Fees
Venue hire fees are specific to your event and are charged as per the Hire Fees stated on page 10 of this booklet. These are subject to change at our discretion and will be reviewed by the CHDC on an annual basis. The CHDC reserves the right to charge a refundable bond at its discretion.
Cleaning
The hired premises must be left as clean and tidy as found upon entry. Should excessive cleaning be required, cleaning fees will be charged accordingly.
Vacation of Premises
The venue is to be vacated by the due date and time as agreed upon booking.
The CHDC reserves the right to take action, at the hirer’s expense, to ensure that the venue is vacated on time and no equipment is left on premises.

The CHDC will not be held liable for any equipment of the hiring organisations that is left on the premises after the vacation date and time without prior arrangement.

Nothing is to be nailed, screwed, stapled or adhered to any wall, door or other part of the building. No adhesive tapes or glue are to be used on walls, doors or windows. All residue, staining or repairs required will be at the expense of the hirer.
Any damage to the venue caused by the event or its participants is the responsibility of the event organisation. Any such damage requiring repairs will be paid for in full by the hiring organisation upon invoice by the CHDC.
Equipment
Any damage to the sound and/or audio visual equipment or to any equipment in the facilities which is directly or indirectly caused by a patron of the event organisation will be invoiced to the event organisation for the cost of repairs or replacement.
