How to Move Applicants through the Workflow in Bulk?

On the upper right of the Home page, ensure Current Group is set to Applicant Reviewer. By default, you will be logged in as Employee. To change to the correct role, press the drop down arrow and choose Applicant Reviewer from the list.

Select Staff from the Postings menu.

Locate the posting that you wish to review and click on the position title to review applicants. When the posting is visible, open it to the Applicants tab. All applicants who meet the minimum degree requirements for your position will be listed in this tab. In addition to names, and application dates, the applicants will have a status assigned as a part of the workflow for this posting. The initial applicant status will be set to Under Review by Department/Committee. As you work through the list, you may decide to move applicants in bulk from one status to another.

For this to work, all of the applicants that you wish to move should start in the same Workflow Group. Begin by clicking the More Search Options button from the Applicant tab. In my example below, I want to bulk move all of the Under Review by Department applicants to a new workflow status.

Select Active from the first drop down list, and then choose the workflow status that you will be moving your applicants FROM. In my example, I am moving the Under Review by Department applicants. Click the Search button.

This search will yeild my smaller list of applicants that match the criteria selected above. Place a check mark in the box next to each name that you would like to bulk move to the new workflow status.

Next, you will want to find the orange Action button. From the drop down menu under the Action button, choose Move in Workflow.

This will open the Bulk Workflow Status Change window. Choose the Change for All Applicants drop down box, and select the new Workflow Status for all of the applicants in your list.

Make sure to save your changes.

Please remember that if you choose the workflow status of “Not Interviewed, Not Hired,” you will be asked to give a reason for this decision for each of those applicants.

You can continue to move applicants individually through this process, however the bulk action option provides a tool to move a larger group of applicants at the same time.
