Minutes- General Meeting: Monday, June 22, 2015

President's Report-DavidNash
David welcomed everyone and reviewed the agenda.
Treasurers Report- Liz Boydell.
Hand-out distributed. Not all the revenues and costs for the last production (Alone Together) are reflected in the report. Liz reported that we are in a good financial position.
Liz reported that she and David Nash and John Smissen had met with the landlord to negotiate a new lease. We agreed to a new two year lease at the same cost as the present lease with a “free” month allowed each year. The lease can be extended for an additional two years at the end of this two year period.
Trillium Grant and Oakville Arts Council Grant- David
Trillium Grant: The present grant is being closed off with a final report. BOTG will re-apply for a grant once the present grant is closed off.
Oakville Arts Council Grant: The 2016 Entertaining Shorts will be produced in the Spring of 2016. At least four plays will be produced. One will be produced by members of Streetwise Actors. There will be a playwriting workshop offered and a playwriting completion run for high school students in the Halton area. The three best plays will be presented during the Entertaining Shorts three day run. David Nash and Micki Clemens are the producers.

Dead Guilty – John Smissen
John Smissen the producer reported that rehearsals are underway. David Nash is the director of Dead Guilty. The play runs from January 21-24, 2016.Back stage crew positions are almost all filled. Set construction and painting is underway. We need to improve our marketing of this and all productions as single seat sales become more important as subscriber sales continue to decline. Selling tickets to friends and relatives at the BOTG member’s price of $20 each is a great deal. If all our members sold ten tickets each it would have a major effect on our sales. Volunteers are required to distribute posters.
Do, IDo, I Do–David Nash
Beth Poad and Cathy Bury are the co-producers. Mike Mitton is the director. The production runs from April 14 – 17, 2016. Auditions will be held in December 2015.
Entertaining Shorts –Micki Clemens and David Nash are the producers. See report in Oakville Arts Council Grant report above.
Pantomime: Snow White – David Nash
Beth Poad and Hilary Speed are the co-producers. Chantal Forde is the director.
7 shows to be held on Dec 21,22, 23 and 27. Auditions are complete. There are 32 cast members. Some rehearsals will take place at dance studio of QEP, some at the BOTG studio. Volunteers are required to distribute posters.
November 21 - Annual Oakville Santa Claus Parade to market all BOTG shows. A float is planned for the parade. Volunteers are needed to walk with the float to distribute candy canes and advertising material on the day.
Facilities – Joe Minard
Joe reported that there had been problems with the heating system in the studio for several days. A technician has been working on the problem and a fix is anticipated within days.
Play Selection Committee -John Smissen.
Meetings have been held at least once a month to review and select a slate to propose to theexecutive on November 2 at the executive meeting for the 2016/2017 season.
Life Membership Award–Jenny le Rich who had been on vacation when her appointment as a Life Member was announced at the Annual General Meeting expressed her thanks for the honour.
Other business
Susan Forde promoted Heroes – A salute to Service Concert. The concert will be held on Wednesday November 18 at the Oakville Conference Centre 2515 Wycroft, Oakville. Tickets are $10 each.
Next General Meeting to be held on Monday December 14, 2015.
Refreshments snack contributed by BOTG members were enjoyed by attendees after the meeting.
