Dear KCA Parents, Guardians and community,

The purpose of this letter is to get your “informed consent” to use pictures and videos of events related to KCA that may include your child.

When you registered your child at KCA you signed a consent form giving KCA permission to use photographs of your child to promote various educational, sports and cultural events that relate to the school. This consent form includes the use of pictures for our school web site, newsletter, school yearbook, school calendar, annual report and news media.

I am seeking your “informed consent” because while social media has become a powerful avenue for communication, it can be very far reaching. KCA uses its Facebook page and web site to promote the school and communicate with its families and friends. However, it is important to understand that when KCA uses social media, the pictures, videos and notices enter the digital world and can be accessed anywhere in the world.

I also want to take this opportunity to seek your cooperation with not taking pictures at school events and activities without first getting approval from KCA administration. We have families, for a variety of reasons, who have not given the school permission to use pictures and videos of their children. Under the Freedom of Information and Protection of Privacy Act, we cannot use pictures or videos of students without parental/guardian consent.

Please read the permission form on the reverse of this letter carefully, complete it and return it to the school.

KCA gathers and uses personal information to provide your child with the best educational services as outlined in our Mission Statement and school policy. Their personal information is required in order to register your child at KCA, and assist the school authority in making informed decisions on the suitability and appropriate placement of your child. This information also allows KCA to respond immediately to an emergency. KCA commits to using and storing this information responsibly and will not release this information to a third party without your verbal or written consent, unless permitted under the PIPA (Personal Information Privacy Act) legislation. KCA does not sell, lease or trade personal information to other parties. Kootenay Christian Academy is seeking your consent to collect, keep, use and share photographs, videos and images of individual students and groups of students to commemorate events and to promote various educational, sports and cultural activities that relate to the school. Photographs and videos of students may be used or shared in school communications including newsletters, brochures and reports. They may also be used in KCA’s website, social media sites (e.g. Facebook), and online videos (e.g. YouTube), as well as DVDs, CDs and videos designed for educational and school promotional use only.

I understand that images and information posted on the internet may be stored and accessed outside of Canada. This consent may be withdrawn at any time in writing but withdrawal of consent does not require KCA to take any steps to withdraw from publication any previously published material. Unless withdrawn, this consent is effective immediately and is in effect until September 30th of the next school year.
